About the role
As the first point of contact in our practice, the Patient Concierge plays a vital role in shaping each patient’s journey from the very first smile at the front desk to their final wave goodbye. Front Office Patient Concierge is working under the direct supervision of our Practice Manager and working with in the Front Office Team at both our Loganholme and Capalaba practice. As the face of the practice, you’ll be central to creating calm, confident, and positive patient experiences—every day. Work alongside a highly experienced specialist team in a progressive and respected orthodontic practice. Skills and experience
This role blends high-level customer service with essential administrative support to ensure each patient feels welcomed, informed, and cared for throughout their experience. With a warm and professional manner, the Patient Concierge manages the reception area, greets patients and families, schedules appointments, answers phone and email enquiries, assists with new patient onboarding, and ensures that all interactions reflect the values and standards of the practice.
We require advanced computer literacy to the level of Microsoft Office, as software is a critical part of our daily treatment protocol and proficiency will be assumed.
Experience in an Orthodontic Practice is preferred, however not essential.
Own transport is essential and preference given to local residents.
Key Responsibilities:
• Warmly welcome patients and visitors with a friendly, professional approach
• Answer calls and emails promptly, providing accurate information about services and appointments
• Manage the appointment schedule efficiently, including new consultations, commencement of Orthodontic journey, observations, treatment adjustments and periodic reviews.
• Support patients through the check-in and check-out process, including payment processing and scheduling follow-up appointments.
• Assist with the collection and review of medical histories and consent forms
• Maintain a tidy, inviting reception area and uphold patient confidentiality at all times
• Liaise with clinical staff to support timely and coordinated patient care

• Calm, organised, and proactive under pressure
• Excellent communication skills (verbal and written)
• Tech-savvy with experience using practice software or booking systems
• A team player with attention to detail and a strong sense of responsibility
