About the role

We are seeking a friendly, organised, and professional Receptionist to join our team and be the first point of contact for our clients, customers, and guests in our Gladstone Qld Office.

This is a full-time role, however, does have the potential for the right applicants to job share.

You will be the main point of contact between customers and our various departments. You will work closely with customers to understand their needs, provide information on services, and ensure the highest level of customer satisfaction. Your role will be key in maintaining and growing long-term relationships with our valued clients.

Key Responsibilities:

• Greet and welcome visitors with a positive and professional attitude.
• Answer, screen, and forward incoming phone calls.
• Respond to inquiries via email and in-person.
• Direct visitors to the appropriate personnel and departments.
• Schedule bookings requests and ensure efficient operations within several departments.
• Maintain accurate service records and customer files.
• Process billing and payments, and ensure accuracy in invoicing.
• Manage office supplies and maintain the reception area.
• Schedule and coordinate appointments and meetings.
• Maintain accurate records of visitors.
• Handle administrative tasks such as filing, scanning, and photocopying.
• Assist with other office-related tasks as needed.

Requirements:

• Proven work experience as a Receptionist, Front Desk Representative, or similar role.
• Excellent communication and interpersonal skills.
• Ability to handle multiple tasks efficiently in a fast-paced environment.
• A customer-first attitude with a passion for excellence service.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Professional appearance and demeanor.
• Ability to handle sensitive information with discretion.
• Experience with Xero or Workshop Software would be an advantage
