Job Title:

Admin Officer (with Receptionist, Sales and MYOB Expertise)

Position Summary:

We are seeking a friendly, organised, and proactive Admin Officer to manage front desk operations while also supporting our sales activities and basic accounting tasks. The ideal candidate will be the first point of contact for clients and visitors, handle incoming inquiries, process phone & in-office orders, and perform data entry and invoicing using MYOB.

Key Responsibilities:

Reception Duties:

Greet and welcome visitors in a professional and warm manner.

Answer, screen, and forward incoming phone calls and emails.

Maintain the reception area to ensure it is tidy and presentable.

Manage incoming and outgoing mail and deliveries.

Sales Support:

Respond to basic sales inquiries.

Process phone & in-office orders.

Assist in preparing sales quotations, proposals, and follow-ups.

Maintain and update customer databases and sales records.

Provide basic product or service information to prospective clients.

MYOB & Administration:

Process invoices, purchase orders, and receipts using MYOB.

Support the accounts team with ad hoc tasks as required.

General Office Support:

Assist with scheduling appointments and meetings.

Order and manage office supplies.

Provide administrative support to other departments when needed.

Key Requirements:

Proven experience as an admin officer, receptionist, office assistant, or similar role.

Strong understanding of basic sales processes and customer service.

Proficiency in MYOB (or similar accounting software).

Excellent verbal and written communication skills.

Strong organisational and multitasking abilities.

Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Friendly, professional demeanour with a positive attitude.

Desirable:

Previous experience in an administrative role supporting a sales team.

Certificate or diploma in business administration, accounting, or related field (preferred).

Reports to: Office Manager / Sales Manager / Accounts Manager (as applicable)
