About This Opportunity

We are seeking a motivated, organised and experienced Executive Assistant to provide a high level of executive assistance and administrative support to the Director, Future Students. You will have previous administrative, executive support or secretarial experience; excellent interpersonal and written communication skills and the ability to prioritise your own workload and work independently to meet deadlines.

Key responsibilities will include:

  • Manage the Director's diary, correspondence, meetings, and communications
  • Coordinate planning sessions and travel arrangements (domestic and international)
  • Process expense claims and raise purchase requisitions
  • Provide HR-related administrative support
  • Prepare agendas, maintain records, and handle audit and training tasks
  • Use discretion to manage enquiries with professionalism and confidentiality
  • Support the broader Future Students team and cross-team projects as required

About You
  • Completion of an undergraduate degree or completion of an equivalent combination of relevant experience and/or education/training
  • Demonstrated experience in the techniques of high level diary, email and travel management within a busy and complex organisation
  • High level of accuracy and attention to detail and proven ability to use initiative to identify solutions
  • High level of computer proficiency across a range of applications including Microsoft Word, PowerPoint, desktop publishing packages, web software and advanced skills in utilising the internet
  • Excellent organisational skills including the ability to prioritise and meet deadlines
  • Demonstrated understanding of financial processes and ability to process invoices for payment and reconcile budgets
  • Excellent interpersonal skills including the ability to communicate effectively with diverse groups within and external to the Division

Desirable

  • Experience in the international education sector at tertiary level
  • Broad knowledge of The University of Queensland policies and procedures including experience with UniFi and Sinet
