Our client is a multidisciplinary design studio with a fearless approach to architecture, urban design and interiors. They are looking for an Executive Assistant & Office Manager who thrives in a dynamic, creative environment. This is a key support role at the heart of the studio, responsible for streamlining executive operations, nurturing studio culture, and supporting essential HR and administrative functions across the practice. Based in Melbourne, you’ll also coordinate with directors in Sydney and Perth.
Key Responsibilities
Manage scheduling, travel, email, meeting coordination and event logistics for the Director group across all studios
Oversee the day-to-day running of the Melbourne office and reception, ensuring smooth workflows and a vibrant, well-supported studio culture
Maintain internal systems, coordinate general admin, and contribute to an organised, agile work environment
Support the hiring and onboarding process, manage staff leave, timesheets and employment documentation, and assist with performance review admin
Support directors with research, correspondence, and proactive engagement in BD opportunities
Skills & Experience
Proven experience in executive or team administration—experience within architecture, engineering or the design sector highly regarded
Strong verbal and written communication skills with professional discretion and maturity
Highly organised with exceptional attention to detail and time management
Proficient with office IT systems and quick to adapt to new platforms and processes
A proactive, solutions-oriented mindset and willingness to support wherever needed
