We’re proud to be partnering with a well-funded, early-stage startup that’s quietly building something transformative in the AI space. Backed by top-tier investors and led by a world-class team of engineers and researchers, this company is on the verge of something big and we’re excited to help them find the right people to support that journey.
They’re now searching for a highly capable Office Manager & EA to run day-to-day operations at their Elizabeth Street office in Melbourne. This is not your average admin role. You’ll be the team’s anchor in a fast-moving environment, ensuring the office runs smoothly while supporting senior leaders behind the scenes.
This is a full-time, in-office role, Monday to Friday.
What You’ll Be Doing
Own the rhythm of the office, making sure the environment is always functional, professional, and ready to support deep work
Act as the face of the business, setting the tone for how visitors, execs, and new hires are welcomed and supported
Set up and onboard new team members: laptops, accounts, welcome kits, and everything they need from day one
Troubleshoot common tech issues (think Zoom, Slack, Wi-Fi, Notion, AV) and liaise with IT vendors as needed
Coordinate office logistics and culture initiatives, from internal events and offsites to team lunches and supplier management
Provide executive support, including diary management, travel coordination, and documentation
Handle competing priorities and last-minute requests with calm, capable energy
Spot potential issues before they become problems, and take initiative to address them without needing to be asked
What We’re Looking For
5+ years experience in a Office Manager or EA role, ideally within a tech, startup, or research-driven environment
Strong examples of proactive ownership: times when you anticipated needs, navigated ambiguity, or independently ran complex logistics
Comfortable operating in a fast-paced setting with shifting priorities
Confident handling guest experience, senior stakeholder interactions, and event planning
Tech-savvy and quick to troubleshoot common systems and workplace tools
Known for being calm under pressure, thoughtful in your approach, and fiercely organised
Available to work on-site full-time, Monday to Friday
