Position Overview:

We are seeking a highly organized, detail-oriented, and experienced Office Administrator to manage the daily administrative functions of our busy office. You will be the central hub for communication, scheduling, payroll support, and customer service, ensuring smooth operations and contributing directly to our team's efficiency and client satisfaction. This is a hands-on role requiring initiative, responsibility, and a strong work ethic.

Key Responsibilities:

* Office Management: Handle daily administrative tasks to ensure the office runs efficiently (email, filing, basic record keeping).

* Communication Hub: Professionally answer, screen, and direct incoming phone calls; respond promptly to emails and other inquiries.

* Job Scheduling & Booking: Accurately schedule and book window cleaning appointments using our CRM/system, coordinating effectively with clients and technicians.

* Customer Service: Provide friendly, professional, and responsive support to clients via phone and email; address inquiries, schedule changes, and concerns promptly; maintain positive client relationships.

* Payroll Support: Assist with processing weekly/bi-weekly payroll for field technicians and office staff accurately and confidentially (experience with payroll software required).

* Data Management: Maintain accurate and up-to-date customer records, job details, and financial information in relevant systems.

* Reporting & Documentation: Generate basic reports (e.g., scheduling, payroll summaries) as needed. Assist with invoicing and accounts receivable/payable tasks as required.

* System Proficiency: Utilize company software effectively for all core tasks (scheduling, CRM, payroll, communication, reporting).

Required Qualifications & Skills:

* Experience: Minimum of 2 years of proven experience in an Office Administrator, Office Manager, or similar administrative support role.

* Technical Proficiency: Demonstrated experience and proficiency with:

* Xero (or similar accounting software - essential for payroll & invoicing).

* Salesforce (or similar CRM software - essential for booking & client management).

* Microsoft Excel (spreadsheets, data entry, basic formulas).

* Microsoft Outlook (email, calendar management).

* Customer Service: Strong customer service orientation with excellent phone and email etiquette.

* Organization & Attention to Detail: Exceptional organizational skills and meticulous attention to detail for accurate scheduling, data entry, and payroll.

* Communication: Clear, professional, and effective verbal and written communication skills.

* Responsibility & Reliability: Proven track record of taking ownership, meeting deadlines, and handling confidential information responsibly.

* Work Ethic: Hardworking, proactive, and able to manage multiple priorities efficiently in a fast-paced environment. Willingness to "get the job done."

* Problem-Solving: Ability to handle routine issues independently and escalate when necessary.

Compensation & Benefits:

* Competitive salary commensurate with experience ($65,000 - $90000).
