We are seeking experienced Contracts Administrators to join our clients Landscape Construction team in the Midland area as well as Bibra Lake.
The ideal candidate will be responsible for administering projects in accordance with awarded contracts and purchase orders to ensure the delivery of contractual obligations to agreed standards.
This role will suit experienced contract administators who have been working within the construction industry who have an interest in working within the Landscaping industry.The role requires excellent communication and negotiation skills, strong organizational abilities, and the capacity to manage confidential information.
Responsibilities of the Role:
- Gain a working knowledge of project contractual documents & scope of work upon award of contract.
- Review and document proposed amendments/comments to the contract for approval and signing.
- Facilitate a detailed handover of projects from Estimating to Construction team.
- Respond to and action requests related to project contractual requirements.
- Liaise with the project team to coordinate relevant written documentation for project variations, revised drawings, and disputes.
- Prepare and submit Notice of Delays (NOD) and Extension of Time (EOT) requests to clients.
- Create and maintain projects in Pronto, including confirming client purchase orders, entering budgets, and liaising with Project Managers/Site Supervisors for variations.
- Coordinate, raise & maintain project progress claims and invoicing.
- Work with the project team to ensure efficient project management and completion.
Requirements of the Role:
- Excellent verbal and written communication and negotiation skills.
- Ability to manage and maintain confidentiality of information.
- Excellent organizational skills, ability to prioritize workloads, juggle multiple priorities, and meet deadlines.
- Strong problem-solving skills and the ability to exercise sound judgment.
- Strong data analysis, numeracy, and modelling skills.
- Highly desirable – Certificate or higher in Business Administration, Building Project Support (Contract Administration) or Project Management.
- Sound knowledge of construction processes, materials, and standards.
- Understanding of contracts including AS2124 & AS4000.
- Document management experience.
- Highly desirable – Experience in commercial landscaping, irrigation, or construction industry.
- Highly desirable – Experience with Pronto, I Auditor, Aconex, and MS Office Suite.
Additional Responsibilities:
- Answer & screen calls, taking detailed & accurate messages.
- Preparation of project presentations and reports.
- Maintain document control and correct filing of project records.
