Position Available: Office Administrator
Standard Hours: 8:00 am – 4:30 pm Monday to Friday, with monthly RDO’s.
This is an on-site position based at our Narangba office — remote work is not available.
We are seeking an organised and customer-focused Office Administrator to be the first point of contact for our customers and to keep our daily service operations running smoothly. This is an ideal role for someone with proven experience in administration and customer service who enjoys a busy, supportive office environment. You will report directly to our Operations Manager and work closely with our Service Coordinator and broader team.
Key Responsibilities:
• Answer incoming calls and respond to emails professionally and promptly.
• Capture customer job details accurately, including purchase orders, payment terms and induction requirements.
• Raise deposit invoices where required and ensure all job intake data is complete and correct.
• Update and maintain customer and asset records in Ascora and internal tracking spreadsheets.
• Assist the Service Coordinator with job scheduling and overflow bookings
• Provide support to the sales team by preparing any urgent quotes as required
Follow up on open quotes and communicate status updates with customers.
• Support the team with general office tasks, reception cover and ad hoc duties typical of a small business.

What You Need:
• Minimum 2 years’ experience in a customer service or administrative role.
• Experience raising invoices and interpreting purchase orders.
• Confident phone manner and ability to manage a high-volume inbox.
• Proficiency with Microsoft 365 and Google Workspace (experience with Ascora highly regarded).
• Exposure to customer portals such as QBuild, Vendor Café, or similar (desirable).
• Strong organisational skills with excellent attention to detail.
• Ability to manage multiple priorities calmly and professionally.
• Good work ethic, punctuality, and a professional presentation.
