About the Role:
Proven Energy is seeking a skilled Front Office Administrator to manage our customer interactions and daily office operations. This role would ideally suit someone who is positive and outgoing, enjoys working with people, is excellent at answering phones, taking detailed notes, solving problems, and enjoys building strong relationships with both customers and team members. The Front Office Administrator is essential in maintaining the high standards of service that define Proven Energy.
Key Responsibilities:
Serve as the primary point of contact for all customers - managing incoming calls, emails, and walk-ins with exceptional professionalism, friendliness and efficiency. Excellent telephone manner is essential.
Direct customer enquiries to appropriate team members, ensuring quick and effective resolutions and provide initial information about Proven Energy’s services, products, and processes clearly and enthusiastically.
Assist with day-to-day administrative tasks such as scheduling jobs, preparing documents, and managing calendars.
Assist with day-to-day warehouse tasks such as ordering stock, assessing stock levels, unloading stock deliveries (requires forklift licence or willing to obtain)
Coordinate with various teams to ensure communication and operations are effectively aligned, including project scheduling, stock availability and updates.
Handle and distribute incoming enquiries effectively, ensuring they are logged, tracked, and followed up on to prevent any oversight.
Support in booking appointments, scheduling installations, and coordinating customer follow-ups.
Help prepare and distribute customer handover packages, ensuring accuracy and completeness.
Maintain accurate and organised records of all customer interactions and operational tasks.
Support the Branch Manager in preparing reports and documentation for internal and external use.
About You:
We are looking for someone friendly, outgoing, organised and who genuinely cares about building positive relationships.
Key qualities we’re looking for include:
Experience in an administrative or customer service role/s.
Excellent organisational skills with the ability to manage multiple tasks and prioritise effectively under pressure.
Very strong communication skills, both verbal and written, essential for engaging customers and collaborating with team members.
High proficiency in office software and CRM systems.
Committed to delivering exceptional service and building positive relationships.
Skilled at clearly and professionally conveying information to diverse audiences.
Capable of maintaining productivity under pressure.
Meticulous in managing enquiries, documentation, and scheduling, ensuring accuracy in all tasks.
Experience working with tradespersons, or experience working in the energy or construction industries is a plus but not required.
