THE ROLE
Do you enjoy working with people? Are you tired of rigid corporate structures and getting caught in internal red tape? We’re on the hunt for someone to be the face of our Brisbane Office! Working in our new Brisbane headquarters at 300 Adelaide Street, you’ll be leading smooth office operations across our four ANZ office locations and owning and shaping efficiencies in this autonomous customer and internally facing role as the pulse of the business.
As a Reception & Operations Officer, you will be the first point of contact for visitors and callers to ARKANCE’s Brisbane CBD based headquarters, providing professional front-desk/reception service and operational administrative support to ensure smooth day-to-day office operations.
Your responsibilities include but are not limited to:
Reception Duties
Greet all clients, guests, and staff with professionalism
Answer and direct incoming calls & monitor mailboxes promptly and courteously fielding enquiries to various parts of the business and responding to enquiries as needed.
Maintain reception and common areas to a high standard and coordinate efforts for all ANZ based ARKANCE offices (remotely for locations based outside of BNE headquarters)
Administrative Support
Perform a variety of administrative tasks including data entry, document formatting, record-keeping, and file management.
Support departments with quoting, reporting, order processing, and Salesforce data maintenance.
Assist with preparation of documentation for meetings and events.
Travel & Internal Event Coordination
Support group travel bookings and international bookings lead by contracted travel agency
Support coordination of travel associated documentation (i.e. policies and procedures, forms and more)
Support internal staff events and training though coordination (including bookings, venue sourcing, catering and registration)
Research and liaise with venues and suppliers as required.
Coordinate courier bookings, stationery orders, and office supplies.
Systems & Technology
Support management of internal company SharePoint in conjunction with IT and Marketing team
Support onboarding by distributing hardware to new starters, and being part of the initial onboarding process such as collating material and coordination of employee welcome packs
·Ensure accurate data input and document management across platforms (i.e. new enquires into Salesforce/HubSpot and lead assignment.
ABOUT YOU
The ideal candidate will be a professional, approachable, and organised individual who thrives in a front-of-house and administrative support role. You take pride in creating a welcoming environment, have strong attention to detail, and enjoy juggling multiple tasks with ease.
You’ll bring:
Excellent communication and interpersonal skills
Strong organisational and time management abilities
A proactive, can-do attitude and willingness to help across the team
Confidence in using Microsoft Office and general office systems
The ability to stay calm under pressure and manage competing priorities
Previous experience in a reception, office coordination or administrative role

Desired but not essential:
· Experience with HubSpot or similar marketing platforms
· Experience with Salesforce or similar CRM systems
· Experience with content creation (i.e. procedure documentation, PowerPoints and presentations)
