We are looking for a proactive, motivated and reliable person to join our close-knit team for a permanent Receptionist/Office Administration role.
You will be required to be the first point of contact for the business. This position is key in reflecting the high level of professionalism and customer service that we pride ourselves on.
Full-time position, 9.00am - 5pm, Monday - Friday.
Role responsibilities:
Be the first point of contact and front-of-house
Greeting clients, offering refreshments and sitting them in appropriate meeting room
Answering and directing all inbound telephone calls in a professional and friendly manner
Personal assistant duties for the Partners
General filing & data entry
Maintaining Registers
Ordering stationery
Collecting / opening mail / recording outgoing mail in postage book
Ordering couriers and recording outgoing / incoming courier documents
Banking (practice banking and also client banking)
Tea/coffee making and kitchen duties
Petty cash purchases / recording petty cash payments in cash book
Printing and collating tax returns to be sent to clients
Lodging tax returns on MYOB AE software
Checking tax assessments to computer records / generating client letters
Maintaining office debtors system (raising invoices, posting fee receipts, reconciling month end debtor balances and following with statements.)
Using BGL corporate software to maintain client corporate records - data entry, ASIC document generation etc.
general office administration tasks as directed from time to time
To be successful in this role, you will have the following:
2+ years’ experience in a similar role at a professional services firm (accounting or law firms ideally)
Proficient in Microsoft Office Suite, BGL Corporate Software and MYOB AE
National Police Clearance, no more than three months old
Team player attitude, eagerness to learn and self-motivated
Exceptional planning, time management and prioritisation skills
Professional, helpful and welcoming attitude
A high degree of emotional intelligence
Superb written and verbal communication skills
Highly engaging and amiable personality
Proactive and diligent work ethic
