Role Overview:
We are seeking an experienced Medical Administrator to join our team. In this role, you will play a vital part in ensuring that our practice operates smoothly and that patients have a welcoming and professional experience from the moment they walk through the door. You will be the first point of contact for patients, both in person and over the phone, and will play a key role in patient onboarding, appointment scheduling, and general administrative support.
This is a casual position of approximately 15–20 hours per week, with flexible hours between 9:00 am–7:00 pm, Monday–Friday, and Saturday from 9:00 am–1:00 pm. We offer a supportive work environment and the opportunity to be part of a close-knit team.
Key Responsibilities:
Greet patients in a friendly, professional, and caring manner upon arrival.
Manage patient appointments, ensuring bookings are made accurately and efficiently both in person and over the phone.
Assist with patient onboarding, including gathering necessary information and ensuring all required documents are completed.
Answer incoming calls and respond to emails, providing information about appointments, treatments, and general inquiries.
Process patient billing, including Medicare, private health fund claims, and EFTPOS transactions.
Coordinate and manage patient referrals, ensuring all necessary documents are prepared and uploaded to patient files.
Provide administrative support to doctors and nurses as required.
Maintain accurate and up-to-date patient records using practice management software.
Skills & Experience:
Previous experience in a medical administration or receptionist role, ideally within a family practice or specialist medical setting.
Strong customer service skills with exceptional verbal and written communication abilities.
Spanish language proficiency is highly advantageous due to our large Spanish-speaking patient base.
Ability to multitask, manage time effectively, and maintain strong attention to detail.
Proficiency in using medical practice management software (Best Practice).
Knowledge of Medicare and private health fund billing processes.
Familiarity with medical terminology and referral pathways.
