Role Requirements:
Dr Morgan provides specialist Gynaecological consultation in our specialist suites at Cooks Hill and Maitland.
The successful candidate will need to be able to work from both locations, as well as flexibly at home when required. ( Usually 1 week per month when the practice is closed.
Due to high patient workload on certain days within the month the Receptionist will be required to work paid overtime until 6pm. The hours of the practice and the role are between 8:30am and 6pm.

About The Role:
The role of the Medical Receptionist at Allcare Gynaecology is to provide exceptional, welcoming and helpful customer service to our patients and efficient and comprehensive administrative and chaperoning support to our team. You will work closely with General Practitioners and Allied Health practitioners in supporting the provision of a high level of professional service to our patients.
The role is fast paced and requires outstanding customer service skills to engage with patients in person and on the phone, a high level of focus, attention to detail, forward planning and strong time management and scheduling skills. You will also be required to provide accurate and prompt accounts management support and be proactive in providing clear communication with our team in a timely manner. A solution orientated mindset along with a supportive team focus will greatly enhance your success in this role.
This role is a permanent part-time position, approximately 30 hrs per week. Part of this position may require working from home.
In the position of Medical Receptionist, you will report directly to our Practice Manager and Dr Tania Morgan, Managing Director of Allcare Gynaecology and perform the following tasks as required:
● Engage with patients and medical practitioners as the primary contact for all enquiries
● Chaperone gynaecological and ultrasound appointments at Maitland and Cooks Hill locations
● Clean instruments and ensuring office and laboratory supplies are always kept at optimum levels
● Keep the calendar up to date for patient appointments, surgeries and meetings
● Use medical software for booking appointments, medical billing, arranging surgical lists
● Collect patient information accurately and comprehensively ● Send out new patient letters, registration and consent forms
● Manage clinical documentation, referrals, patient records and correspondence
● Check in patients upon arrival at consultations
● Take payments, conduct invoicing and receipting of patient accounts
● Update company policies and procedures in collaboration with medical staff.
● Weekly meetings with medical staff to ensure smooth running of the practice
● Undertake daily banking reconciliation and assist with budgeting
● Keep the office, consulting rooms and kitchen areas tidy and clean
● Liaise with healthcare providers
● Supervise and delegate tasks to junior administrative staff
● Coordinate social media, website, blogs updates as needed.
About You:
● A genuine desire to care for women
● Prior experience in a similar position working with medical specialists
● Willing to chaperone some patient gynaecological and ultrasound appointments
● Integrity and confidentiality with patient and practice information
● Outstanding customer service skills, comfortable fielding questions on the phone
● Strategic thinking and ability to improve work processes
● Superior spelling, grammar and punctuation skills, with knowledge of basic medical terms
● Excellent computer literacy, adept with MS-Office Suite and Gentu medical software
● Strong attention to detail and accuracy
● Self-motivated and able to manage own workflow
● Enjoy working closely with patients and others in the practice
● Able to achieve minimum daily targets
● Flexible to work extra shifts or hours as required.
Minimum 2 years' experience in a medical specialist practice or similar healthcare setting
Must have full Australian work rights
