Ground floor opportunity in new manufacturing facility
Exergy is a new Australian owned business, funded by an established company, with a goal of becoming one of Australia's best complementary medicine manufacturers. We are have completed the building phase of a brand-new facility in Smeaton Grange, South-West Sydney and are about to start operating.
The Office Administrator will report directly to the General Manager and is responsible for administrative support to the wider team and ensure that relevant functions operate smoothly. We seek a candidate who is not only capable of performing the routine tasks associated with the role but also possesses the ability to design and manage efficient, structured processes for essential business functions, including recruiting and onboarding.
This is an on-site role in Smeaton Grange. The salary will be negotiated inside the posted range based on your experience and seniority level.
The Responsibilities
The Office Administrator plays a crucial role at Exergy, serving as the face of the business and ensuring the efficient operation of various support services.
Create and administrate business process like recruiting and onboarding.
Manage reception duties: greet visitors, answer phones, and respond to general inquiries
Maintain office supplies and place orders as needed
Coordinate incoming and outgoing mail, couriers, and deliveries.
Assist with scheduling meetings, managing calendars, and preparing meeting rooms.
Support with onboarding new employees and maintaining staff records.
Process documentation such as purchases orders, invoices, and delivery dockets.
Maintain filing systems (physical and digital) in accordance with company standards.
Liaise with suppliers, contractors, and service providers as required.
Support basic data entry, reporting, and document formatting tasks.
Assist QA/Production/Management teams with administrative tasks as needed.
Ensure the office is clean, safe, and well presented at all times.
The Technical Skills and Requirements
Tech savvy, familiar with cloud-based systems such as Asana, Confluence and Miro
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
3+ years of experience in an administrative, receptionist, or office support role
Certificate III or IV in Business Administration, Office Administration, or a related field.
Australian Permanent Resident or Citizen with the current right to work in Australia.
Desirable:
Reasonable understanding of project management and change management.

Accuracy in data entry, document handling, and record-keeping, particularly important in regulated industries like complementary medicine.
Clear and professional verbal and written communication across all levels of the business, as well as with external suppliers and visitors.
Persuasive and comfortable constructively challenging.
Trusted with sensitive HR and operational information; handles it respectfully and securely.
Friendly, approachable, and responsive to internal and external stakeholders; maintains a professional front-of-house experience.
Tech Proficiency
Competent with office systems, including Microsoft Office, document control platforms, and (preferably) ERP or quality management software.
Proactive in identifying issues and implementing practical solutions without needing constant supervision.
Able to shift between tasks and respond to changing priorities in a fast-paced manufacturing setting.
Works cooperatively with production, quality, HR, and leadership teams to support collective goals.
Understands the importance of documentation, traceability, and accuracy in a TGA/GMP-regulated environment.
