Project Description

Launchpad Youth Community Inc. is a Specialist Homelessness Service that has been supporting young people who are homeless or at risk of homelessness in the inner west of Sydney for over 20 years. Launchpad aims to provide a wide range of services and opportunities to enhance young people’s capacity so they can participate, engage and belong in the community.

We support people with complex needs, though wrap around integrated casework and coordination of support with other aligned and relevant agencies. Through a strengths based and trauma informed approach, Launchpad works with young people in a client centred way, enhancing the capacity of young people to be at the centre of the decision making, and supporting them as they move through different pathways out of homelessness or risk of.

The Administration Officer position will deliver administration, data recording and financial management of the Brokerage program, Sydney Youth Homelessness Hub (SYHH) program and the Sydney Young Parents Program (SYPP).

Organisational Environment

Launchpad through the Executive Officer will have supervisory oversight and direction of your work. This includes Human Resource accountabilities and responsibilities. There is an expectation that each employee will participate in Launchpad training, supervision, team building and clinical development.

Purpose of position

. The Administration Officer will support the Executive Officer and manage day to day office processes, data monitoring and reporting, and financial accounting for the service.

· The Administration Officer will support the service work in brokerage administration, data collection, monitoring and reporting and financial accounting for the service.

· The Administration Officer will be responsible for the financial support of the Brokerage Fund under the direction of the Executive Officer, ensuring compliance with Launchpad Brokerage Policies and Procedures and the State-wide Brokerage Guidelines.

Key accountabilities

Administrative

· Maintain and develop administration processes and systems in consultation with the Executive Officer.

· Perform administrative duties as directed by the Executive Officer including reception duties, service correspondence, incoming calls, mail, filing, minute taking, ordering of office supplies, maintenance of equipment, supplies and premises.

· Assist with staff induction processes and establishment of correspondence materials.

· Ensure office presentation, service information and publicity materials meet standards and are available for customers

· Manage email enquiries, monitor and update Facebook page, twitter and website material where required and as directed by the Executive Officer.

· Contribute to and lead where required the development of the annual report and other service publications.

· Provide Administrative support to the Executive Officer and other duties as required.

· Maintain accurate written records, statistics and reports

· Maintain your own professional development in consultation with the Executive Officer.

· Be culturally competent in liaising with young people who are:

o culturally and linguistically diverse

o Aboriginal and Torres Strait Islander and / or

o gender and sexuality diverse.

Client data management

Responsible for client data entry and reporting processes under BAARS- Brokerage data base and support Executive Officer with data gathering for funding reports, evaluation and other reporting mechanisms.

Manage and update client Brokerage data as directed by the case workers or the Executive Officer.

Financial

· Support on financial duties such as recording income and expenses invoicing and accounts receivable, petty cash, payroll admin, HR and finance records system and working effectively with external accounting partners to provide up to date expenses reports.

· Ensure that all incoming and outgoing finances are recorded and updated fortnightly in the services financial system

· Oversee financial administration of the Brokerage Fund in line with policy and procedures.

Manage petty cash system for the ICSYHS and Launchpad

Monitor, record, pay and file all ICSYHS and Launchpad bills, insurances, credit & petrol cards and accounts after approval from the Executive Officer.

Prepare invoices, cheques, electronic banking payments and other financial processes for approval.

Receipt any payments, partner funding accounts and records and collate this information in to the required reporting format.

General Launchpad Accountabilities

Work as part of the wider Launchpad team displaying effective team membership by assisting with and participating in whole of service events and supporting events run by other Launchpad programs.

Attend all Launchpad staff meetings, team building days etc. and relevant interagency meetings.

Participate in training and performance appraisal as required

Meet fortnightly for supervision with the Executive Officer

Perform all duties in accordance with the Launchpad code of conduct and the Launchpad policies and procedures and philosophy

Perform all duties in line with EEO policy and OH&S safety standards, ethical practice principles and a commitment to the principles of cultural diversity.

Essential Selection Criteria

Experience:

· Delivering quality customer service to internal and external customers.

· Excellent communication skills, including written and verbal presentation skills, diplomatic and effective liaison and interpersonal skills

· Ability to work independently and as part of a team, willingness and ability to contribute to the overall performance and improvement of the services administrative support.

· Ability to provide detailed reports and collect statistics for program evaluation.

· Demonstrated planning, organisational and excellent time management skills.

· Superior IT skills in programs including Microsoft Office, Excel, Power Point and Access.

· Experience in data entry, management and recording.

· A current NSW Drivers licence.
