Heart Support Australia is the peak national body providing support and advocacy for Australians affected by heart disease thru peer support. We are a national consumer organisation providing support, encouragement, and education to heart disease patients and their families.
Established in 1989, our mission is to facilitate the transition from hospital to home and provide ongoing support for heart disease patients in Australia. Our goal is to stop secondary cardiac events and improve the lives of those living with heart disease in Australia.
Heart Support Australia is a unique patient-centred model in Australia assisting in the long-term care and support of patients living with heart disease. We are the only patient group in the country providing training, funding, and educational support to volunteer consumers to lead local peer support groups to help improve the lives of those living with heart disease, whilst also coordinating our national hospital patient visitor program proving bedside support to patients currently in hospital for heart disease.
Position Objectives
The Administration Officer for Heart Support Australia is an integral role that covers a general role to ensure the general operational activities for the organisation ensuring the day-to-day administration tasks are responded too including managing and providing administrative support to ensure our volunteers and programs continue to run effectively across the country. This role is a part-time role based in our Canberra office with the option to work from home and the office during the week. This role can grow in the future based on the growing demands of the organisation.
Organisational Relationships
· The position reports to the Chief Executive Officer and works in collaboration with the National Program Coordinator and National Instructor.
Key Responsibilities
The responsibilities of the Administration Officer are.
· Answering phone calls, receiving, and processing of any correspondence and email enquiries as required.
· Ensure office is maintained in a clean and tidy manner.
· Oversee all general administration tasks associated with day-to-day operations and programs.
· Liaise regularly with Heart Support Australia consumers and volunteers to address any queries or concerns they may have and assist them with their role.
· Coordinate and manage volunteer enquiries, onboarding and registration processes.
· Ensure that information and/or resources to the peer support groups and volunteers remain up to date and posted out when required, in addition to ensuring program data and information remains current and recorded.
· Coordinate and assist in the administration for any courses, events, board meetings, AGMs or other activities as required.
· Provide support to the CEO when required.
Skills and Experience
· 2+ years of experience in admin or similar research or healthcare related roles
· Capacity to work with minimal supervision within a small team.
· Strong organisational skills and ability to manage multiple tasks and meet deadlines.
· Attention to detail and professionalism in all day-to-day work functions.
· Honest, reliable, flexible, and passionate.
· Excellent verbal and written communication skills.
· Experience in Microsoft Office applications
Desirable Skills
· Experience within a similar healthcare or volunteer-based organisation.
· Experience within cardiovascular disease either as an administrator or researcher.
· Ability to manage and liaise with key stakeholders, financial partners and donors.
· Prior experience working with a CRM (VEGA).
