Position Overview
We are seeking a highly organised and detail-focused Rostering and Administration Officer to manage scheduling and operational administration in a high-volume, fast-paced disability support environment.
This role is casual, fully remote, and must be completed between 9:00 AM – 5:00 PM, Monday to Friday. You will coordinate rosters for over 50+ support workers , ensuring compliance with the SCHADS Award, NDIS billing requirements, and internal processes.
Key Responsibilities
Build and maintain daily and forward-planned rosters (2–4 weeks) in ShiftCare
Accurately interpret and apply the SCHADS Award, including overtime, allowances, broken shifts, and applicable penalties
Manage high-volume calls, emails, and real-time roster adjustments
Respond promptly to unplanned leave, staff queries, and emergency coverage
Communicate shift changes to staff clearly and promptly
Review client appointments and shift instructions for alignment with care plans
Submit daily timesheets for payroll and support billing accuracy
Ensure documentation for NDIS claims, service adjustments, and cancellations is timely and compliant
Maintain accurate records across rostering and CRM systems
Manage the house calendar, ensuring all appointments, meetings, and staff events are scheduled, communicated, and followed up
Schedule and coordinate supervisions, training, and monthly house and team meetings, ensuring strong attendance and preparation
Take detailed minutes for all meetings and follow up on action items
Review shift notes weekly, flag concerns with management, and distribute to relevant stakeholders
Liaise with internal teams to address care worker concerns, WHS requirements, or operational risks
Provide administrative support to the Operations and other teams as required
About You
You are highly organised, confident working independently and have a deep understanding of NDIS operational compliance and rostering complexities. You thrive in structured systems and fast-paced environments, and are confident communicating with frontline staff and managers alike.

Qualifications and Requirements
Minimum Certificate IV or higher in Business Administration or a related field
Minimum 3 years’ experience in rostering or coordination within SIL or NDIS environments
Proficient in ShiftCare, Microsoft Excel, Word, WhatsApp, and Adobe
In-depth understanding of the SCHADS Award, including complex provisions
Strong working knowledge of NDIS pricing and compliance, Fair Work and Safe Work Guidelines
Demonstrated ability to manage high call/email volume while maintaining record accuracy
NDIS Worker Screening Check
Working with Children Check
Australian Working Rights and ability to work independently in a remote setting
