Position Overview
The Contract Administrator / Project Support Officer is responsible for overseeing the preparation, negotiation, administration, and compliance of all commercial contracts related to agricultural operations, ecological restoration projects, land management services, and supplier partnerships. This role plays a critical part in ensuring that all contractual obligations are clearly defined, executed, and monitored in alignment with legal, financial, and operational goals.
Key Responsibilities
Contract Management & Administration
Draft, review and manage contracts for suppliers, contractors, consultants, clients, and government agencies.
Ensure all contract terms and deliverables are clearly documented, compliant, and aligned with business objectives.
Maintain a central contract register and ensure timely renewals, extensions or terminations.
Undertake onsite review of work to ensure completion in line with contracted requirements.
Prepare scopes of work, service level agreements (SLAs), and procurement documentation.
Stakeholder Liaison & Communication
Act as a liaison between internal teams (e.g. farm managers, ecologists, project managers) and external stakeholders (e.g. contractors, landholders, regulatory bodies).
Support contract negotiations by providing timely documentation and due diligence checks.
Assist in managing disputes, variations, and claims in collaboration with leadership and legal advisers.
Compliance & Risk Management
Ensure all contracts comply with relevant legislation, environmental standards, grant conditions, and industry codes (e.g. Procurement Policies, WHS, Biosecurity, Fair Work).
Monitor contract milestones and trigger points to mitigate risk and ensure obligations are met.
Support tender and grant applications with accurate contract data and documentation.
Systems & Reporting
Use project and contract management software to track deliverables, budgets, and timelines.
Prepare regular reports on contract status, performance metrics, risks, and opportunities.
Recommend improvements to contract management systems and processes.
Key Selection Criteria
Essential
Experience in contract administration, preferably within agriculture, natural resource management, environmental services or construction.
Strong understanding of commercial contracts, procurement processes, and compliance obligations.
High attention to detail and excellent organisational and documentation skills.
Strong written and verbal communication skills, including negotiation and stakeholder engagement.
Proficiency in Microsoft Office and contract/project management systems.
Ability to work independently and collaboratively across varied projects and teams.
Desirable
Knowledge of land management, regenerative agriculture, ecological restoration, or conservation practices.
Familiarity with government funding agreements or environmental grant conditions.
4wd experience necessary, and ongoing training will be required.
Experience with remote and lone working.
Qualifications in Business, Law, Environmental Science, Agriculture, or related discipline.
Experience working in and with not-for-profit organisations.
