About the Role: The Office Manager ensures the efficient, high-quality delivery of all services in accordance within the client’s scope of work, maintaining a safe, comfortable, and functional environment that supports both client and GJK’s objectives.
This position will oversee the operation of GJK’s client facing team at one of our tertiary education contracts, manage requests related to a variety of service and coordinate resources to ensure service delivery standards are maintained.
Key Responsibilities:
Ensure compliance with all relevant Health and Safety Legislation.
Provide clear direction, mentorship, and performance feedback to customer service team members.
Oversee the day-to-day operations of the head office, including managing office supplies, equipment procurement, and vendor relationships.
Respond promptly to customer inquiries via phone, email, and in person.
Supervise the daily operations of the helpdesk inbox and correspondence.
Manage the QuickBase system, ensuring all completed requests are accurately tracked and closed.
Oversee responsibilities related to the clients safety system (Noggin) to ensure compliance and accuracy.
Supervise the billing process, ensuring accuracy and timeliness of all financial activities 1.
Skills and Qualifications:
Diploma level qualification or five years of experience.
Advanced MS Office skills (Word, Excel, PowerPoint, Outlook).
Highly developed communication and stakeholder engagement skills.
Excellent organizational, time management, and prioritization skills.
Ability to work in a team environment and under pressure.
Self-motivated, able to work independently and without close supervision 1.
