The Business Manager will oversee and lead the overall operations of the company, ensuring efficiency, compliance and financial sustainability. This role requires strong leadership, strategic planning and financial acumen to support the delivery of high-quality services to NDIS clients.
This role plays a critical part in ensuring effective integration of key systems (e.g., Employment Hero, ShiftCare), driving continuous improvement and ensuring strong internal coordination across departments.
The Business Manager will work closely with the CEO, HR, Finance, and external partners to support strategic priorities and foster a culture of accountability, support, and performance.
Key Responsibilities
1. Operational Leadership & Service Oversight
· Lead and support a multidisciplinary team, including State Supervisors, Finance, HR and operations staff as well as field workers.
· Provide supervision, mentorship, and performance management to staff across diverse roles and locations.
· Champion culturally safe and inclusive practices for Deaf, Hard of Hearing, Deaf Plus, Indigenous, and complex needs clients. · Ensure service delivery aligns with person-centered and trauma-informed principles.
2. Operations & Systems Oversight
· Ensure smooth day to day operations across all services areas, driving efficiency and excellence.
· Manage and monitor the implementation and ongoing functionality of Employment Hero (EH) and ShiftCare.
· Identify and address operational gaps, inefficiencies, and training needs.
· Act as the primary contact or escalation point for issues related to EH, ShiftCare, and other integrated systems.
· Support the streamlining of workflows and documentation across departments.
3. Team Leadership
· Work with HR to ensure all staff have clarity on roles, responsibilities, and reporting lines
· Facilitating smooth workflows and collaboration
· Overseeing onboarding, induction, and ongoing support for new and existing staff.
· Monitor and review staff feedback mechanisms, contributing to engagement and retention strategies.
· Encourage a positive workplace culture by promoting open communication, teamwork and recognition of achievements.
· Addressing staffing challenges by collaborating with HR and senior management to resolve issues, manage performance and plan workforce needs effectively
4. Financial Management
· Strategic financial oversight
o Develop, manage and monitor budgets and financial forecasts in collaboration with the CEO, Director and accountant as well as ensuring alignment with business goals and compliance with regulatory requirements.
· Collaboration with external financial partners
o Work closely with external payroll provider to ensure accurate and timely payroll processing, compliance with award laws and proper tax and superannuation management. Oversee external bookkeeping services to maintain financial records, reconcile accounts and proper tax management.
· Internal finance team leadership
o Provide direction and support to the internal finance team, ensuring they effectively manage accounts receivable, accounts payable, financial reporting and cash flow management. Facilitate smooth coordination between finance staff and external financial service providers.
· Funding and Compliance
o Oversee NDIS claims and funding processes, ensuring compliance with financial regulations and reporting standards specific to the NDIS sector.
· Financial Risk Management
o Monitor financial risks, identify cost-saving opportunities and implement financial controls to safeguard the business’s financial stability.
· Stakeholder Communications
o Present financial insights and reports to the executive leadership, ensuring informed decision-making. Providing guidance on financial planning, sustainability and growth strategies.
o Attend monthly meetings with accountant and executive leadership team
5. Contract & Documentation Management
· Oversee creation and quality control of employee contracts (e.g. casual, permanent, negotiated rates).
· Ensure proper documentation and compliance with Award provisions (e.g. SCHADS).
6. Compliance & Risk
· Support audit preparation and quality assurance measures.
· Maintain understanding of NDIS, SCHADS, and workplace safety standards.
· Assist with incident reporting oversight and corrective action tracking.
7. Strategic Projects
· Support recruitment and workforce planning (e.g. COS roles in SA, WA, Cairns).
· Participate in project evaluations and process reviews.
· Act as liaison for executive team and key external partners.
8. Strategic Growth
· Identify opportunities for business expansion and service development to enhance participant outcomes
· Contribute to business planning, service growth strategies, and execution of strategic priorities.
· Analyse operational and financial data to drive efficiencies, innovation, and quality outcomes.
· Track key performance indicators (KPIs) and organisational metrics, reporting insights to executive leadership.
· Identify opportunities for funding, innovation, and partnerships aligned with the organisation’s mission.
Key Relationships
· Reports to: CEO
· Supervises: Finance, HR, Bookings and Admin Team, as well as State Supervisors, and external consultants (such as accountant and bookkeeper).
Selection Criteria
Essential
· Proven experience in business operations, administration, or program coordination roles.
· Strong financial management skills with expertise in budgeting and reporting.
· Strong communication, leadership, and stakeholder management skills.
· Familiarity with employment systems such as Employment Hero, ShiftCare and Xero.
· Understanding of NDIS compliance, SCHADS Award, and employment law.
· Demonstrated ability to manage complex projects, multitask, and meet deadlines.
· Experience supporting HR, finance, or rostering in NDIS/community services sectors.
· Relevant qualifications in business administration or finance.
Desirable
· Experience leading hybrid or remote teams across multiple states.
· Lived experience or strong understanding of Deaf culture, Auslan, or disability services.
