About the Role

We are seeking a highly organised and proactive Job Scheduler / Planner to join our Brisbane-based operations team. In this role, you’ll be responsible for efficiently managing daily job allocations, communicating with both clients and field teams, and keeping our systems updated and our schedules running smoothly.

This is a vital role in ensuring our installation and service teams are well-coordinated, on-time, and delivering the exceptional service we’re known for.

Key Responsibilities

Schedule and coordinate jobs for our installation and service teams

Liaise with clients to confirm appointments and provide job progress updates

Optimise travel routes to reduce downtime and maximise daily efficiency

Use mapping tools and scheduling software to plan team workloads

Follow up with field staff to ensure completion and documentation of all jobs

Maintain accurate, real-time updates in our CRM (we use HubSpot – other CRM experience is also valued)

Manage customer expectations with professionalism and care

Collaborate with internal departments to ensure seamless communication and job flow

What We’re Looking For

Proven experience in job scheduling, dispatch, or workforce planning

Outstanding customer service skills and professional phone manner

Experience working in a fast-paced, office environment

Familiarity with Brisbane Geography and online mapping tools

Experience using CRM systems (HubSpot preferred, but not essential)

Exceptional attention to detail and ability to manage many job schedules

Experience managing in-house installers to keep them efficient

A team player who enjoys supporting others and takes pride in their work
