Job tasks and responsibilities:
Be the first point of contact for inbound customer calls, online enquiries and emails
Use our Job Management System ServiceM8 to schedule daily jobs for our field staff based on location, availability and urgency.
Liaise directly with clients, property managers, tenants and technicians to coordinate access and appointments
Confirm job bookings, monitor job progress and follow up on outstanding or incomplete work
Follow up on outstanding quotes and invoices
Update and maintain our job management system with accurate and timely data entry
Provide friendly, professional support to internal and external stakeholders
Proactively resolve scheduling conflicts or delays with efficiency and great communication
Work collaboratively with other team members to ensure smooth operations
Contribute to process and system continual improvement
Assisting with other administrative tasks
What we are looking for:
Previous experience in customer service and/or scheduling/coordinator roles
Exceptional communication (verbal & written) skills, strong organizational abilities and attention to detail
The ability to multi-task and stay calm under pressure
A friendly, customer-focused attitude and professional phone mannerisms
A proactive, solution-focused mindset and a genuine passion for helping people
Previous experience with job management software such as ServiceM8 (not essential but desirable)
