Position Title: WHS / Projects Onboarding Administrator

About the Role
We are seeking a proactive and detail-driven WHS / Projects Onboarding Administrator to support workplace health and safety compliance and project workforce onboarding across multiple sites. This role plays a vital part in ensuring all project personnel—including subcontractors and contractors—are properly inducted, compliant, and ready to mobilise safely and efficiently. You'll work closely with the WHS and project delivery teams to maintain records, verify compliance, and enhance administrative systems.
Key Responsibilities
WHS Administration
Maintain and update WHS documentation including SWMS, risk assessments, safety data sheets, and incident records.
Ensure all project personnel are compliant with WHS requirements before site access.
Track and manage site safety inductions and training completions.
Support incident reporting, investigations, and corrective action tracking.
Assist in preparing documentation for internal and external WHS audits.
Project Onboarding Coordination
Coordinate onboarding for all project-related personnel, including subcontractors, consultants, and delivery teams.
Verify and record compliance documentation such as licenses, tickets, VOCs, right-to-work, and insurances.
Manage project-specific onboarding checklists and ensure all onboarding steps are completed.
Maintain and update project registers for workforce, training, and inductions.
Liaise with site managers and supervisors to ensure smooth mobilisation and site readiness.
Provide administrative support to project and site teams, including document control, data entry, and record keeping.
Assist in scheduling inductions, site access approvals, and compliance reviews.
Ensure all onboarding documentation is correctly filed and accessible for audit purposes.
Contribute to continuous improvement initiatives in onboarding and WHS systems.
Skills & Experience
Experience in WHS and onboarding administration within the construction, infrastructure, or civil sectors.
Strong understanding of WHS processes, onboarding workflows, and compliance management.
Excellent administrative and communication skills with high attention to detail.
Proficiency in Microsoft Office, smart sheet, Sharepoint and platforms like HammerTech,
Ability to manage competing priorities and deadlines in a fast-paced environment.
Qualifications
White Card – Construction Induction (mandatory)
Certificate IV in WHS or Business Administration (desirable)
Certificate in WHS (Desirable)
First Aid & CPR (desirable)
Valid NT driver’s licence (Mandatory)
