Claims Hero, an innovative claims management company, is seeking a highly experienced Executive Assistant to support the Founder and Executive Director. This role is central to enabling the executive team to operate at peak effectiveness by ensuring their time, communication, and operational commitments are managed with care, precision, and strategic oversight.
Working at the heart of a fast-paced, purpose-driven organisation, the Executive Assistant will manage competing priorities, coordinate internal and external engagements, and act as a trusted extension of the executive team. Key Responsibilities
Executive Support and Communication
Manage inboxes, calendars, and correspondence for both the Managing Director and Executive Director.
Draft, review, and respond to communications on behalf of the executive team, ensuring professionalism and consistency.
Coordinate meetings, prepare agendas, and capture minutes and follow-up actions.
Act as the first point of contact for internal and external stakeholders when appropriate.
Workflow and Project Coordination
Ensure the executive team stays focused on priorities by managing task lists, follow-ups, and deadlines.
Support implementation of key operational processes and ensure procedural compliance.
Assist with planning and executing team meetings, workshops, and cross-functional projects.
Proactively identify issues or risks that may impact timelines, quality, or delivery.
Office Organisation and Efficiency
Support business organisation through documentation, systems, and internal coordination.
Assist with managing special projects, internal communications, and administrative priorities.
Maintain confidentiality and handle sensitive matters with discretion and sound judgment.
Adapt to shifting priorities and responsibilities in line with the company’s growth.
Oversee day-to-day office operations, including managing supplies, coordinating equipment needs, and ensuring the workspace is organised, tidy and well-functioning.
Stakeholder Engagement and Representation
Represent the Managing Director and Executive Director professionally in communications and interactions.
Support the preparation of reports, presentations, and other materials.
Engage effectively with team members, referrers, and external service providers when required.
Support relationship management activities and track key touchpoints.
Personal Support and Culture Enablement
Assist with personal tasks when required to create headspace for executive responsibilities.
Help maintain a calm, organised, and focused working environment for the leadership team.
Contribute to a positive, values-led team culture by bringing energy, care, and professionalism.
Support the execution of team wellbeing initiatives, such as fitness programs or celebrations.
Skills and Experience
Essential:
Minimum 3 years' experience in an Executive Assistant role supporting C-suite or senior leaders.
Proven ability to manage multiple priorities and work independently with high levels of initiative.
Exceptional written and verbal communication skills.
Proficiency in Microsoft 365 applications (Outlook, Word, Excel, Teams, OneDrive).
Strong organisational and problem-solving skills, with attention to detail and follow-through.
Experience supporting multiple executives simultaneously.
Insurance experience is highly regarded, but not essential.
