Sales Coordinator
- Manage inboxes and respond to enquiries from internal and external stakeholders.
- Provide sales support and administrative assistance to a fast-paced sales team.
- Work with Account Managers to understand and capture order requirements (e.g., product selection, quantities, pricing, delivery details).
- Coordinate with suppliers to confirm product availability, pricing, and delivery timelines.
- Liaise with warehouse teams to verify stock availability and organise delivery schedules.
- Coordinate and manage the end-to-end sales order process from quote to final delivery.
- Keep Account Managers, clients, and stakeholders updated on order status and any changes.
- Resolve order discrepancies to ensure smooth processing and on-time delivery.
- Maintain accurate customer information and documentation in internal systems.
- Collaborate with the Accounts Department to ensure clients' account details are accurate and up to date.
- Support the Sales Team, Account Managers, and Sales Representatives with ongoing administrative tasks.
- Create product presentations and supporting documentation when required.
- Continuously expand product knowledge and stay up to date on key product features.
Quotations Coordinator
- Prepare, update, and process accurate product quotes based on client requirements.
- Liaise with suppliers to confirm pricing, check product availability, and coordinate delivery timelines.
- Monitor shared inboxes and respond to general enquiries, keeping the team informed of pricing updates, delays, or supply issues.
- Collaborate with Account Managers and internal teams to understand project requirements and deadlines.
- Stay up to date with product knowledge and industry trends to provide relevant recommendations.
- Recommend suitable product options that meet project needs, client budgets, and availability.
- Assist in preparing tenders, bulk order quotes, and cost variations for residential and commercial projects.
- Ensure all quotes align with company pricing strategies and contractual guidelines.
- Enter and maintain accurate supplier details, product information, and pricing in internal systems for efficient quoting.
- Manage multiple quotes and project deadlines efficiently in a fast-paced environment.
- Provide general administrative support to the broader sales and project teams, including ad hoc tasks as needed.
- Experience with quoting or estimating is highly regarded.
Sales Administrator
- Provide sales support and administrative assistance to a fast-paced sales team.
- Manage inboxes and respond promptly to internal and external inquiries via phone and email.
- Accurately process incoming purchase orders within company database.
- Provide outstanding customer service and support to all clients.
- Maintain accurate customer information and documentation in internal systems.
- Liaise with warehouse teams to confirm stock availability and delivery schedules.
- Provide updates and follow-ups to Account Managers, Suppliers, and/or stakeholders on order progress.
- Collaborate with the Accounts Department to ensure accurate client account status.
- Support the Sales Team, Account Managers, and Sales Representatives with administrative tasks.
- Provide ad-hoc administrative assistance when needed and as required.
About YOU
- 1-2 years experience in similar sales support, sales coordination and/or quotations role.
- Exposure to the building or construction industry, advantageous but not necessary.
- Accuracy and attention to detail when processing orders, pricing, and coordinating with teams.
- Strong organisational and multitasking skills.
- Excellent communication skills for handling inquiries.
- Problem-solving mindset for resolving service requests.
- Adaptability to support various administrative tasks.
- Tech-savvy with quick learning ability.
- Must be: Located within Australia, an Australian Citizen, Permanent Resident or hold a current visa with full AU work rights.
