The Role
We're on the lookout for a friendly and professional Personal Assistant/Office Administrator to be the face of our Carlton office. If you're someone who loves keeping things organised, thrives on helping others and enjoys being part of a supportive team - we'd love to hear from you.
Reporting to the Chief Executive Officer, a core component of this role is providing administrative support to the CEO and the management team. In this role, you’ll handle a mix of executive support, administrative tasks, and special projects, stepping in wherever needed to ensure things run seamlessly.
What you'll be doing
Provide administrative support to the CEO, including managing calendars, communications, emails, meetings, travel, and document preparation.
Coordinate Board and Committee meetings, support Board members, manage agendas and minutes, and handle post-meeting tasks
Provide administrative support to the management team including meeting and agenda coordination, managing communications, preparing minutes and meeting outcomes.
Assist in the organisation of internal and external events, book meeting rooms and event spaces, organise catering
Book fights and accommodation and prepare itineraries as required
File correspondence and documents in the SharePoint
Arrange informational technology needed to support meetings
Ensure smooth day-to-day operations of the Carlton office, handling everything from supplies to meeting arrangements
Be the go-to person for staff queries and general administration needs
Ensure the proper archiving and disposal of documents
Ad hoc office duties as required
What we're looking for
Experience in providing executive, secretariat and administrative services at a senior level (previous experience in the use of Diligent Board Management software advantageous)
Proficiency in using Microsoft Suite including Excel, PowerPoint, Outlook and Word
Sound interpersonal skills with demonstrated ability to communicate with stakeholders at all levels
Sound organisational skills and ability to work under limited supervision and to tight deadlines
High level time management and organisational skills
Ability to handle confidential information with discretion and professionalism
Strong problem-solving skills and ability to think critically

Range $91,677 to $110,011 per annum
15% Superannuation (as compared to the standard 12%, effective 1 July 2025)
