About This Opportunity

We are looking for a driven, organised, and highly skilled Senior Executive Assistant to provide exceptional executive and administrative support. In this pivotal role, you will serve as a primary point of contact for the HMBS Executive Office, managing sensitive information and data with the utmost confidentiality. Your ability to communicate effectively, build strong relationships, and prioritise tasks in a fast-paced environment will be essential as you independently meet deadlines and manage competing priorities.

As part of the HMBS Executive Office professional team, you will contribute to a culture of continuous improvement and a positive workplace environment. The HMBS Faculty values flexibility, offering work arrangements that can be tailored to suit the role and your needs.

Key responsibilities will include:

  • Executive Support & Diary Management: Efficiently manage electronic diaries for senior staff, including scheduling meetings, coordinating complex travel arrangements, and prioritising daily workflows. Provide comprehensive administrative support by handling confidential information, drafting correspondence and documents, and ensuring alignment with University policies and procedures.
  • Office Administration & Financial Coordination: Maintain effective administrative systems to support office operations, including managing reimbursements, reconciling accounts, overseeing financial delegations, and preparing budgets in accordance with University financial protocols.
  • Project, Event & Committee Coordination: Support portfolio-relevant projects, organise functions and workshops, and coordinate meetings and committee activities. This includes preparing agendas and minutes, managing documentation, and liaising with internal and external stakeholders to ensure smooth execution.
  • Stakeholder Engagement & Strategic Awareness: Act as a primary liaison for a broad range of inquiries from University staff, students, government, and industry professionals. Maintain up-to-date knowledge of departmental operations, University projects, and key personnel to support informed decision-making and proactive communication.

About You

Candidates require superior interpersonal, communication and senior stakeholder engagement skills as well as the ability to prioritise their own workload and work independently to meet deadlines.

  • A degree with subsequent relevant experience; or extensive experience and specialist expertise or broad knowledge in administration, business or executive support; or an equivalent combination of relevant experience and/or education/training.
  • Excellent interpersonal and verbal/written communication skills, including the ability to communicate effectively with people from diverse backgrounds and of varying social status.
  • Level of sensitivity when dealing with confidential matters.
  • Excellent stakeholder management, such as the ability to effectively handle, escalate and follow up with stakeholders.
  • Sound problem solving skills and judgment in resolving or redirecting issues.
  • Broad understanding of administration procedures, organisational structures and functions of the University of Queensland.

The successful candidate may be required to complete a number of pre-employment checks, including right to work in Australia, criminal check.
