Robert Walters have partnered with a retail bank to exclusively assist in hiring a Board Coordinator for a 12 month maternity leave contract cover.
Supporting the Legal and Governance team
The Group Legal - Corporate & Governance team is responsible for management of all governance, transactional and commercial legal activities for the Group including: Company Secretariat, Corporate Advisory and Governance, Commercial legal, Insurance, M&A legal, Treasury legal and specialist legal
- Proactively manage and co-ordinate the GC's diary and emails; looking to anticipate and address any issues that arise, help manage workload and ensure that the GC is well prepared in advance for all internal and external meetings and presentations attended
- Respond to general queries and distinguish between critical and non-critical issues, redirecting to the correct contacts
- Liaise with Executive Board Assistants within the team who will lead and take carriage of all Board related assistance matters
- Work collaboratively with all who link with the GC, the Group Legal - Corporate & Governance team and the broader L&G team
- Maintaining the document control register and the process for execution of documents. o Liaising with internal departments and performing regular checks to ensure documents are correctly maintained, fully executed and stored in accordance with policy and requirements
- Working with Corporate Secretariat, Legal and relevant Business units to ensure Power of Attorney for each entity are regularly updated with current attorneys
- Preparing extracts for executed document registers for reporting to various Board entities. o Assisting with queries relating to execution of documents
- Responsible for the monthly review of all cost centre reports / budgets with Finance to identify any issues and then get them resolved with assistance of the GC as required
- Create Incident Reports, Billing Reports, Monthly Reports and Compliance Certificates
- Approve invoices, Amex expenses and reimbursements on behalf of the GC and the Group Legal team
- Send communications and reminders to the team
- Manage the LEX and Desksite system for the team
- Manage Workplace for the team
- Prepare and manage high quality, sensitive and confidential documentation including preparing correspondence, presentations and reports, filing and document control
- Book travel, accommodation and logistics both domestically and internationally
- Setting up new starters, terminations, secondments & re-locations
- Organising meetings for the team (including agendas, teleconferencing & catering)
- Organise meetings and training sessions for the wider L&G department
- All other administrative/secretarial duties as or required for an EA position.
Must have:
- Experience with Diligent
- Must have had exposure to ASIC lodgements
- Excellent communications
- Worked for an ASX listed company as a Board Coordinator
