We’re looking for an Executive Support Coordinator who brings a high level of professionalism, strong judgement, and a genuine commitment to supporting Warrigal’s executive leaders.

The opportunity

You will be a trusted support to the Executive Team, helping them stay focused, organised, and prepared to lead effectively. Whether it’s coordinating complex schedules, preparing briefings for key meetings, or managing communications with care and discretion, you’ll play an essential role in ensuring their time and attention are where they’re needed most.

This is more than a traditional support role, it’s about being a step ahead, understanding what’s important, and knowing how to prioritise in the midst of shifting demands. You’ll bring a calm, considered approach, strong judgement, and the ability to build positive relationships across all levels of the organisation. Your attention to detail and sense of initiative will ensure things don’t just get done, but get done well.

In this role, you’ll contribute directly to the effectiveness of the Executive Team—not just by handling the day-to-day, but by helping to create space for strategic thinking, collaboration, and leadership. It’s a position where your reliability, discretion, and professionalism will be both noticed and valued.

The requirements

Essential:

  • A Diploma in Business Administration or a related field, or equivalent tertiary qualification.
  • Proven experience in delivering high-quality executive administrative and operational support, including proactive executive diary management.
  • Exceptional verbal and written communication skills, with the ability to handle confidential information with discretion.
  • Strong interpersonal skills, capable of building effective relationships with staff, the Executive, and the Board.
  • Highly organised, with excellent planning and time management skills, and the ability to adapt to competing priorities and deadlines.
  • Advanced proficiency in Microsoft Office applications, including word processing, presentation software, databases, and spreadsheets.
  • Experience in conducting research and preparing responses, submissions, and reports for senior leadership.
  • High level of initiative, self-motivation, and the ability to work independently with minimal supervision.
  • A current driver’s licence.

Desirable:

  • Previous experience in the aged care industry.
