Key Responsibilities:
1. Invoicing & Delivery Coordination
Process and invoice all completed jobs from the previous day.
Ensure jobs are correctly packaged, labeled, and prepared for timely delivery.
2. Client Communication & Scheduling
Manage daily phone and email communication with clients regarding pick-ups, job orders, due dates, and special requirements.
Coordinate scheduling to ensure smooth job flow and client satisfaction.
3. Team Collaboration & Job Management
Monitor departmental workflow and job progress.
Ensure teams are aligned on job priorities and deadlines are consistently met.
4. Staff Communication
Provide clear, concise instructions to staff about job requirements and timelines.
Coordinate cross-departmental collaboration to optimise efficiency.
5. Order Tracking & System Oversight
Own and manage the job tracking system.
Enter, update, and track all job orders to ensure complete accuracy and traceability.
6. Job Allocation
Input new job orders into the system.
Assign tasks to the appropriate departments based on job type and timeline.
7. Email Correspondence
Act as the main point of contact for client and supplier email communication.
Ensure all messages are responded to in a timely and professional manner.
Qualifications & Skills:
Previous experience in operations, administration, or client services (preferably in healthcare, dental, or laboratory settings)
Strong organisational and time-management skills
Excellent verbal and written communication abilities
Ability to multitask and prioritise in a dynamic work environment
Attention to detail and commitment to accuracy
