Position Overview
This position provides effective administration and support of the branch in relation to service support, invoice preparation, mobilisation requirements and general administration. This role is major part of the Kewdale team, ensuring WIP reports are maintained, safety records are kept and reported, and supplier invoices processed.

Responsibilities

Open and close service and manufacturing jobs, dispatching picking slips, technician timesheets and maintaining detailed records in the ERP system.

Monitor Work-in-Progress (WIP) by running PIRs (Pre-Invoice Reports) for service jobs, overseeing invoicing, and ensuring all relevant documents are organised in job folders.

Receive and process supplier invoices through GBS (Global Business Services), ensuring timely payments and liaising with relevant departments regarding product receipts.

Proactively follow up with customers for purchase orders and ensure supplier invoices are receipted in time to meet service invoicing deadlines.

Assist with maintenance of service employee records, accounts payable and accounts receivable processes.

Manage administration of all safety management reporting and inductions.

Experience and Qualifications

Minimum of three years of experience in a similar administrative role, preferably within manufacturing/field service industry.

Strong interpersonal skills with the ability to effectively communicate with colleagues, customers, and service providers.

Excellent organisational skills with a keen attention to detail in handling administrative tasks.

Proficient in Microsoft Excel & Word, and experience with ERP software, particularly Pronto.

Ability to prepare technical and sales documentation efficiently.
