About the Role

We are seeking a motivated and detail-oriented Operations Administrator Officer to provide support across all areas of the business — assisting our service, projects, accounts, and management teams with day-to-day operational administrative tasks.

As an Operations Administration Officer at Insight Electrical Technology, you will:

Support Business Operations: Provide day-to-day administrative support to the Operations, Finance, and Service teams to ensure smooth delivery of services.

Job Workflow Management: Manage the setup of job files in SimPRO, Procore, and SharePoint; convert quotes to work orders; and input budgets as directed.

Invoice & Accounts Processing: Collate project documentation and ensure timely and accurate invoicing, as well as assist with accounts payable and receivable processing.

Document & Data Management: Maintain accurate records including material costs, maintenance reports, acceptance slips, and quotations for repair works.

Procurement & Stock Control: Conduct purchasing activities and support stock level monitoring for both the warehouse and field vehicles.

Plant & Equipment Oversight: Assist in scheduling service and calibration of equipment to reduce downtime.

HR & Compliance Support: Assist with the administration of HR processes such as leave management and adherence to company policies.

Office Management: Maintain general office administration tasks, including consumables, reception duties, meeting coordination, and system upkeep.

Requirements:

A minimum of 2 years' experience in administrative/operational roles.

Familiarity with operations and scheduling processes, and inventory management.

Experience in accounting or invoicing is highly desirable.

A great attitude towards variety, teamwork, and keeping the office running smoothly.

SimPRO & Procore experience desirable.
