The City of Karratha is seeking a dynamic and experienced Project Administration Officer to join our team.
Position Overview:
As part of the City Projects Team the Project Administration Officer is primarily responsible for the organisation and administration of specialist project support for the delivery of capital works projects from inception to final delivery. The works are to be completed in accordance with contemporary project management practices and, to agreed timeframes and levels of service.
Key Responsibilities:
- Administrative and financial tasks such as preparing documents, responding to enquiries, making bookings and travel arrangements, organizing meetings, and taking minutes. Preparing procurement documentation, monitoring project budgets in collaboration with the Project Manager, and assisting with annual budget reviews and cashflow reporting.
- Supporting the Project Delivery Team throughout the project development, implementation, and execution phases, while actively contributing to the creation of effective policies and procedures for project management.
- Overseeing contract sourcing, managing the approach to market, and creating requisitions using Ci Anywhere software. Coordinating the tender process for City Projects, assisting with tender documentation preparation and distribution, and issuing addendums, clarifications, and advice notes.
- Administering and managing electronic procurement systems, overseeing the preparation and distribution of request for quotation and tender documentation, and liaising with contractors regarding construction stages and progress payments. Including reconciling progress claims and maintaining contract registers.
- Assisting in the coordination of meetings, including scheduling, preparing agendas, and taking minutes.
- Leading the collation of project progress information to update the Project Manager, Executive, Councillors, staff, consultants, community groups, and the public through reports, agenda items, and articles for newsletters and the website.
Qualifications:
- Previous experience in a similar role within a dynamic organisation.
- Previous experience in technical construction and contract administration is desirable.
- A National (or Federal) Police Certificate (no more than 6 months old).
- A current C class driver’s licence.
