Key Responsibilities:
Executive Support
• Monitor and triage the CEO’s email inbox, draft routine responses, and escalate urgent matters
• Coordinate CEO schedule and calendar, ensuring alignment with key priorities and deadlines
• Support preparation of Board papers, minutes, and meeting packs; manage follow-up actions and correspondence
• Draft internal and external correspondence, briefings, and communications on behalf of the CEO
• Maintain confidential records and governance documentation
Project and Compliance Support
• Support the delivery of defined internal projects, such as:
Volunteer Program coordination
Archive and storage project
• Assist with monitoring and tracking compliance obligations and reporting timelines
• Help maintain policy review schedules, register updates, and governance workflows
Administrative Coordination
• Organise meetings, travel arrangements, and appointments as required
• Assist with formatting documents, reports, and presentations
• Provide general administrative support to reduce the CEO’s workload and improve operational efficiency
Key Selection Criteria:
Essential
• Proven experience in executive or high-level administrative support
• Excellent communication skills, with the ability to draft professional correspondence
• Strong organisational skills and the ability to manage competing priorities
• High attention to detail and commitment to meeting deadlines
• Discretion in handling confidential and sensitive information
• Proficiency with Microsoft Office Suite (Word, Outlook, Excel)
• Ability to work independently with initiative and judgement
Desirable
• Previous experience in a not-for-profit, disability, or community services organisation
• Understanding of NDIS or governance frameworks
• Experience supporting projects or systems improvement
• Familiarity with digital platforms such as SharePoint or Google Workspace
Conditions of Employment
• The role is governed by the Social, Community, Home Care and Disability Services Industry Award (SCHADS), Level 4.1
• 15.2 hours per week, specific days to be negotiated
• The position is offered as a 12-month fixed-term contract
• A current National Police Check, NDIS Worker Screening, and Working with Children Check are required
