About the Role
An exceptional opportunity has arisen for a highly organised and discreet Executive Assistant to support the directors of a Private Family Investment Office. This diverse and fast-paced role is critical to ensuring the smooth day-to-day operations of the office, providing executive-level administrative support, and managing key business functions including document control, accounting assistance, and internal communications.
You’ll be a trusted right hand to the directors—balancing priorities, ensuring confidentiality, and supporting a wide array of tasks from calendar management to financial reporting. This is a unique opportunity for a self-motivated, detail-oriented professional who thrives in a small team environment and understands the dynamic nature of private family office operations.
Key Responsibilities
Office Management
Oversee the daily operations of the office to ensure a smooth and professional environment.
Manage office supplies, equipment, and liaise with external service providers.
Coordinate schedules, appointments, travel, and logistics for directors.
Supervise administrative staff where required.
Executive Support
Act as the first point of contact for the directors, managing communications with discretion.
Schedule meetings, prepare documentation, and ensure the directors are well-supported.
Draft, proofread, and manage reports, correspondence, and presentation materials.
Document & Data Management
Maintain structured filing systems (digital and physical) for investment and legal documents.
Support compliance by ensuring documentation is current, accurate, and easily retrievable.
Perform periodic audits to ensure document integrity and accessibility.
Finance & Reporting Support
Perform data entry of financial transactions and maintain organised financial records.
Assist with invoice processing, reconciliations, payroll support, and financial reporting.
Support the preparation of board materials and coordination with accountants or auditors.
Additional Duties
Assist with coordination of special family events and philanthropic activities.
Provide backup administrative support to other team members.
Foster internal and external communication between the family office and associated entities.
What You’ll Bring
Minimum 5 years’ experience as an Executive Assistant or Office Manager, ideally within a family office or investment environment.
Excellent organisational and multitasking skills, with high attention to detail.
Strong communication skills—both written and verbal.
Proficiency in Microsoft Office Suite and general business software.
Discretion, professionalism, and the ability to manage confidential information.
Working knowledge of accounting processes and financial reporting is preferred.
