We’re seeking a talented Contracts Co-Ordinator / Administration Assistant to undertake end to end management of all Customers and Suppliers, to be the first point of contact for our Customers, Suppliers and visitors, to provide exceptional service, manage enquiries and ensure efficient office operations. Key Responsibilities:
The role includes but is not limited to:
· Manage onboarding and offboarding of all Customers and Suppliers as requested by staff members.
· Develop key strategic alignments with Suppliers and develop a core list of preferred Suppliers with support to project staff.
· Management of all Customer contracts including updating rates in our accounting software, Applying for CPI’s, provide early advice on contract expiring, and hosting all meeting with key stakeholders with support of divisional Manager.
· Provide monthly reports to the CFO highlighting Supplier usage, outlining key data and the benefits the Suppliers are providing to business in the way of cost saving.
· Using software provided, find better solutions to manage key output of data for ongoing usage and compliance.
· Prepare and submit funding applications.
· Attend industry and networking events as representative of Enviro Infrastructure.
· Manage all Insurance compliance with contracts and claims associated with the business, including Workers Compensation claims.
· Manage Customer contract specific folders including arranging and providing items filed in a logical order.
· Complete Credit Applications and send to management for signing.
· EFTsure verification and maintenance of Suppliers.
· Manage company assets signed in and out. Order new assets where required. Allocate and organise the storage of returned items.
· Enter Purchase Orders and forward demands for payment to Accounts Payable for processing.
· Answer phone calls in a friendly, polite and professional manner, direct calls to the appropriate personnel, and/or take messages.
· Keep reception, meeting rooms, and kitchen areas clean, tidy & stocked, as required.
· Be responsible for the day-to-day running of the office equipment including arranging maintenance and ordering consumables.
· File all receipts and delivery dockets.
· Sort incoming and outgoing mail.
· Create new job folders and issue job numbers across various software platforms.
· Arrange accommodation for projects, as required.
· Maintain uniform & new starter PPE stock levels.
· Assist and support the Office Manager in general office and administration duties, as required.
· Book Fleet Servicing, as required
Essential Qualifications:
· National Police Clearance
· Minimum C Class Driver’s Licence, with reliable transport.
Essential Experience:
· Minimum 2 years’ experience in the construction industry or similar
· Construction Law experience of short course of similar relevance.
· Microsoft Office and Adobe PDF.
· Construction-based software, desirable but not essential.
