CORE FUNCTION: To provide contractual and financial administrative support to Managers to facilitate efficient management of the financial aspects related to carrying out the services within the business.

Principal Duties

The provision of financial & administrative support to the Managers for operational delivery for all work through the Perth office.

Provide feedback and share as and when necessary, with the Commercial and Finance Department with regards to areas of improvement, e.g. costs, tendering etc.

Develop, implement and maintain cost accounting procedures as to give a clearer financial overview of the client contract

Assisting the Manager with tasks as and when required

Provide financial administration support to the Perth office for end of month and end of year financial reporting requirements, in accordance of the direction of the Regional Financial Controller.

Produce project accruals to Finance Manager for end of month

Assist the Manager to ensure all proforma / tax invoices are prepared accurately, in a timely manner and paid within the due dates.

Complete the administration and clerical tasks required to account and support monthly claims and invoicing in accordance with the contracts such as (but not limited to).

If necessary, track and monitor supplier activities including flight booking invoices for staff mobilising to site, including liaison with the operational team to be aware of which personnel are mobilising to site.

Collate weekly DPR’S for preparation of project invoicing.

Entering of man hours, equipment and consumables derived from daily/weekly work reports with the application of the rules/parameters outlined within the applicable contract.

Reconciliation of weekly/daily work reports with payroll timesheets to ensure correct data collation and interpretation of events.

Communicate and facilitate in the rectification of any incorrect information, data collation or misinterpretation with HR, Site & Payroll.

Collate and apply to claims all third-party invoices and expense claims with back chargeable expenses not covered within the unit rates.

Confer with HR and the client with relation to personnel contract variations and change in personnel duties & responsibilities that are to be on-costed to the client.

Record all written instructions from the client to act in any way that differs from what is outlined in the contract.ie approval of overtime

Liaise with the client regarding information required for invoice preparation and to resolve queries around the financial administration of the projects. This process to ensure the client is adhering to contractual payment terms.

Set up and maintenance of Contract File containing, but not limited to:

Copy of the Signed Contract detailing the estimated contract value, each milestone and KPIs, estimated start and end date.

Signed Project Notifications for each site staff (if required)

Insurance - certificates of currency.

Rosters for Work and FIFO.

Project Organisation Chart.

Registers of Staff, Equipment, Consumables, Medicals and Training

Register of Issues and Solutions

Register of Variations to the Contract

Contract or project review meeting minutes detailing milestones, KPIs, technology, manning, etc.

Suppliers’ quotes and invoices monitor costs

Invoicing in SAP

Creation & maintenance of quotations

Creation & maintenance of material line items

Creation & maintenance of Contracts

Periodic & Contractual price changes

Create invoices

Maintenance of payment terms

Maintenance of functional locations and client billing details

Creation & maintenance of correct WBS elements for reporting

Knowledge and Skills

A qualification in commerce, business or accounts with a minimum of three years’ experience in accounts or project/contracts administration or function is preferred

Proven ability with proactive communication with external parties; suppliers and clients

Solid knowledge of project and/or contract management processes

Attention to detail and an aptitude for financial processes is essential

Familiarity with Australian employment legislation would be beneficial. Specific Enterprise Bargaining Agreements, employment contracts operating onsite or Common Law Contracts.
