About Whadjuk Aboriginal Corporation

The Noongar Native Title Settlement is the most comprehensive native title agreement negotiated in Australian history. Whadjuk Aboriginal Corporation is the regional corporation established under the Whadjuk People Indigenous Land Use Agreement to represent the Traditional Owners of the Whadjuk Agreement Area.

Whadjuk Aboriginal Corporation has an important role in the South West Native Title Settlement with the Western Australian government. The settlement resolves all native title claims in the south west of the State in exchange for around $1.3 billion in land and other benefits for Noongar people.

Administration Officer

The Membership and Administration Officer plays a key role in supporting the operational and governance functions of the Whadjuk Aboriginal Corporation. This position is responsible for the effective management of membership processes, administrative systems, and financial support functions to ensure seamless organisational operations and quality service to members, directors, and stakeholders. This role requires a proactive, organised, and culturally aware individual who can manage multiple administrative priorities while upholding confidentiality, integrity, and professionalism.

Reporting to the Operations manager, your core duties will include:

Membership Management

Administer and maintain the Corporation’s membership database (Fortix or other approved systems).

Respond to membership enquiries and update member contact records and send communications.

Prepare application documentation and correspondence for Director assessment and approvals.

Maintain accurate membership registers and ensure compliance with Rule Book requirements.

Support the promotion and engagement of membership across the Whadjuk community.

Meetings and Governance Support

Coordinate logistics for Board, CAC, General, and Annual General Meetings.

Prepare and distribute meeting notices, agendas, and papers (via BoardPro).

Attend meetings as required, record accurate minutes, and maintain attendance and action registers.

Process and reconcile travel allowance (TA) claims and reimbursements.

Support compliance with governance and reporting obligations under the Rulebook & CATSI Act.

Financial Administration

Raise purchase orders, sales quotes, and draft invoices in Xero.

Process accounts payable, receivables, and corporate card reconciliations and reimbursements / claims.

Payment Management: Prepare payment batches, including electronic funds transfers,

BPAY, transfers, and other payment methods to ensure timely & accurate payments.

Assist in preparing financial documentation for audits and service agreements.

Support compliance with internal financial controls and approval workflows.

Corporate Administration and Records Management

Maintain the Corporation’s records management system (SharePoint) and participate in user training.

Provide general administrative and clerical support to all staff.

Manage reception duties including answering calls, greeting visitors, and handling correspondence.

Oversee office management functions, liaise with IT providers, and coordinate office maintenance.

Community and Cultural Engagement

Support and participate in community and cultural events such as WAC’s annual NAIDOC celebrations.

Promote awareness of membership opportunities and community engagement initiatives.

Maintain connection with the local community and inform management of relevant issues or opportunities.

Uphold and promote the cultural values and objectives of the Whadjuk Aboriginal Corporation.

Other Duties

Undertake other tasks as directed by the Chief Executive Officer or Operations Manager consistent with the role’s scope and purpose.

Key skills and attributes

Essentials

High level of computer literacy and accurate data processing skills.

Proficiency in Fortix, Xero, BoardPro, Microsoft Office Suite, ApprovalMax (including PowerPoint, Excel, and SharePoint).

Strong organisational and multitasking skills with attention to detail.

Excellent communication skills—verbal and written and governance experience.

Ability to work collaboratively within a small, multi-disciplinary team.

Experience managing confidential information and maintaining professional integrity.

Desirable

Relevant vocational or tertiary qualification in business administration or a related field.

Knowledge of Aboriginal governance structures or CATSI Act operations.

Current WA driver’s licence.
