About Baby Steps
Baby Steps Health Centre is a purpose-built sanctuary for families and clinicians — home to GPs, paediatricians, and allied health professionals working together under one roof. We’re recognised for our high standard of care, collaborative model, and thoughtfully designed environment that supports both patients and providers.
As the practice continues to grow, we’re looking for an experienced Operations Manager to support our next phase — strengthening systems, leading people, and ensuring our day-to-day operations remain efficient, professional, and patient-focused.
This is a full-time role (32–37.5 hours per week). Hours are flexible and can be structured to accommodate family life, but will be spread across 5 days to support consistent presence and leadership.
The Role
The Operations Manager oversees the daily running of the centre, ensuring seamless coordination across administrative and clinical functions.
You’ll work closely with the Director and Business Manager to align operations with strategy, optimise resources, and foster a connected, high-performing workplace.
This role suits someone who leads with confidence and composure — a practical decision-maker who keeps things running smoothly and helps people do their best work.
Key Responsibilities
Operational Leadership
Oversee coordination across reception, facilities, and provider schedules.
Support staff and independent providers to deliver exceptional patient experiences.
Manage room allocations, rosters, and day-to-day flow to ensure operational efficiency.
Communicate clearly across teams, ensuring information and decisions are well aligned.
Financial & Business Support
Partner with the Business Manager and Director on budgeting, planning, and reporting.
Monitor provider utilisation, billing accuracy, and operational costs.
Review occupancy and ensure service capacity meets demand.
People & Culture
Lead, mentor, and support the Head of Reception and admin team.
Support onboarding and engagement for new providers and staff.
Promote a professional, collaborative, and inclusive workplace culture.
Quality & Compliance Oversight
Maintain high operational standards in safety, privacy, and health regulations.
Ensure the centre meets all accreditation and quality obligations.
Identify opportunities for improvement while keeping operations steady and consistent.
About You
You’re an experienced operations or practice manager who enjoys bringing structure and direction to multidisciplinary teams. You understand how to balance strategic oversight with hands-on leadership and have a strong grasp of both people and process.
You’ll bring:
5+ years’ experience in operations, practice, or business management (healthcare preferred).
Strong leadership and interpersonal skills — confident working with diverse professionals.
Excellent organisation and time management abilities.
Financial literacy and familiarity with reporting, budgets, and utilisation metrics.
Experience with practice management systems (Best Practice, Automed, or similar).
A professional, solutions-focused mindset and the ability to maintain consistency under pressure.
Why Join Baby Steps
Work somewhere that feels different. Baby Steps was designed from the ground up to be a sanctuary — a place where families feel cared for, and clinicians feel proud to work.
Join a values-led team. We believe healthcare should be kind, inclusive, and thoughtfully run — with systems that support people, not the other way around.
Be part of a respected Subiaco landmark. Our multidisciplinary centre brings together GPs, paediatricians, and allied health professionals in a collaborative, modern environment with light-filled rooms, family spaces, and a sense of calm you can feel the moment you walk in.
Lead with trust and autonomy. You’ll have genuine scope to shape operations, contribute to growth strategy, and make lasting improvements that strengthen a practice already known for quality and care.
Grow with us. As we expand services and partnerships, you’ll be part of a forward-thinking team setting new standards for private healthcare in WA.
