Pay Rate: $35 - $45 per hour (depending on experience, inclusive of superannuation)

Position Summary
The Manager – Client integration and training plays a key leadership role within AIR SECRETARY, supporting the integration, training, and day-to-day management of our offshore team of Air Secretaries.
This role bridges communication between our Australian specialist clients and our Philippines-based operations team — ensuring smooth collaboration, quality service delivery, and a consistently high standard of support.
You will assist in training new Air Secretaries, troubleshoot operational issues, and work closely with our Operations Manager and leadership team in the Philippines and our Australian leadership team to maintain performance, quality, and culture across the organisation.
Key Responsibilities
Training & Development
Deliver and coordinate onboarding and training for new Air Secretaries
Supervise and support the Training Team located in our Philippines office
Bring first-hand experience from the Australian healthcare system to guide and up skill our on-site trainers, helping them deliver training that reflects the realities of specialist private practice
Contribute to improving training materials and training systems
Operational Support
Collaborate closely with the Operations Manager (Philippines) to manage workflow and resolve issues
Provide real-time troubleshooting and escalation support for both Air Secretaries and clients
Ensure consistent adherence to AIR SECRETARY systems, processes, and quality standards
Client Liaison
Assist in the onboarding of new clients and integration of their Air Secretary into their practice
Act as a key contact for Australian specialist clients when operational issues arise
Help interpret client needs, clarify expectations, and ensure effective communication between clients and their Air Secretaries
Support clients through training, feedback, and issue resolution, ensuring service satisfaction and continuity
Leadership & Communication
Foster strong communication between clients, Air Secretaries and our leadership team using chat messaging and video conferencing platforms
Contribute to the culture aligned with AIR SECRETARY values
Attend regular leadership meetings and provide updates to management
Key Skills & Experience
Previous experience as a medical secretary or practice manager ideally in a specialist private practice
Strong understanding of Australian healthcare system including medical workflows, patient correspondence, and billing processes
Experience training and supervising teams in an administrative or clinical support role
Confident using digital communication tools (chat, messaging, video conferencing, task management systems)
Excellent communication skills
Calm, professional, and proactive approach to problem-solving
A genuine passion for teamwork, learning, and supporting others to succeed
Working Conditions
Part-time: 20 hours per week, flexible scheduling
Work from home (Australia-based)
Once or twice yearly travel to the Philippines for leadership meetings and training
Work collaboratively with both Australian and Philippines-based team members
