We’re looking for a high-accuracy, high-ownership customer service coordinator who loves order, thrives on structure, and keeps everything moving smoothly, efficiently, on time, every time.

🔥 The Opportunity

This role sits at the heart of our operations. You’ll coordinate between:

Staging, Logistics & Warehouse teams

Admin, Sales & Client Support

You’ll play a key role in ensuring our installs, collections, bookings, systems and client communication run like clockwork as we style over 1500+ homes this year (and growing!).

🎯 What You’ll Do

Daily Operational Control
- Manage installations, collections & extensions schedules
- Keep the Installs/Collection Master Calendar up to date and accurate
- Communicate effectively with property owners and real estate partners to coordinate access confirmations.

Systems & Reporting
- Update and track projects in Internal softwares. (Stage force, Go High Level, Excel and Clockify)
- Maintain accurate data across all project platforms
- Run weekly reports and ensure digital records are on point and backup

Client & Team Communication
- Confirm site access & book project dates
- Send extension & collection emails
- Provide real-time internal communication and updates to departments and external partners.

Admin & Financial Tasks
- Issue weekly extension invoices
- Print proposals, file receipts, manage fuel cards & business admin
- Keep logs and trackers up-to-date and error-free

Property Care & Inventory Support
- Manage supplier warranty claims
- Liaise with clients/partners for property repairs when required
- Work with Stylist Ops Manager on furniture return flow

- Coordinate office building and stationary needs
