About the role

We’re seeking a proactive Office Admin All Rounder to join our CHAPtech team.

In this role, you’ll be the first point of contact for our clients, provide essential administrative and operational support to ensure the smooth day-to-day running of the office. You’ll coordinate activities, maintain accurate records, assist with financial administration, and support the wider team in delivering exceptional service to our clients.

This role suits someone who is highly organised, detail-oriented, and enjoys working in a collaborative environment.

Responsibilities

Office Administration

Perform general administrative and office duties.

Coordinate office operations and procedures to ensure efficiency.

Answer and direct phone calls, providing friendly and professional customer service.

Receive and catalogue inventory.

Maintain accurate records and support data entry and purchasing tasks.

Liaise with suppliers, clients, and internal teams to keep operations running smoothly.

Undertake other administrative duties as directed by the Directors and the Finance & Admin Coordinator, including support with confidential matters.

Financial Administration

Process invoices and receipts.

Reconcile daily, monthly, and yearly transactions.

Assist with maintaining wage and salary records.

Support management with financial documentation and reporting.

Compliance

Follow company policies and procedures, including cybersecurity, privacy, and data-handling requirements.

Maintain discretion and confidentiality when handling business or client information.

Role Requirements

Experience

Minimum 2 years’ experience in an administration and/or finance administration role.

Skills & Capabilities

Excellent communication and interpersonal skills.

Ability to work independently as part of a team.

Strong analytical and problem-solving skills.

Attention to detail and accuracy.

Ability to manage multiple tasks and priorities.

Efficiency in MS Office applications and MYOB (or similar) will be highly regarded.
