Apogee Strata is seeking a talented and experienced Administration/Reception professional to join our team in our Fremantle office. This is a full-time position supporting our growing business. Front-of-House & Communication
• Greet clients and visitors in a professional and friendly manner.
• Answer incoming calls and emails, directing enquiries to the appropriate strata manager.
• Manage the reception inbox and respond to general queries from owners, tenants, and contractors.
• Manage the accounts inbox and distribute correspondence as needed.
• Maintain a tidy and welcoming reception and office environment.
Administrative Support
• Assist strata managers with preparing correspondence, notices, meeting documentation, and owner communications.
• Process incoming and outgoing mail, courier deliveries, and strata documentation.
• Maintain electronic and hard copy filing systems, ensuring accuracy and confidentiality.
• Monitor and order office supplies, stationery, and equipment as required.
Strata Records & Compliance
• Support with maintaining and updating strata rolls, contact lists, and ownership details.
• File minutes, agendas, budgets, and other statutory documents.
• Assist with requests for strata company records and key register updates.
• Prepare and issue standard forms and correspondence as directed by the strata manager.
Team & Client Assistance
• Provide administrative support for new management take-ons and terminations.
• Assist with preparation of welcome packs and distribution of notices to owners and tenants.
• Support team members with ad hoc administrative or operational tasks as required.
Skills & Experience
• Previous experience in an administration or reception role within a strata management, property, or real estate environment preferred.
• Excellent communication and customer service skills with professional telephone manner.
• Strong organisational skills and ability to manage competing priorities.
• High attention to detail and accuracy in data entry and document preparation.
• Proficient in Microsoft Office and strata software (Strata Master/MRI, SMATA).
• Understanding of basic strata management principles and terminology advantageous.
