Position Overview

The position is being advertised, and employment will be under the business All Cricket Gear, however all duties will be completed for the sports association NSW Indoor Cricket.

The Administrative Assistant will provide high-level administrative and operational support to ensure the smooth running of NSW Indoor Cricket’s programs, competitions, and events. The role is central to maintaining efficient communication, coordination, and compliance across State Team operations, organisational administration, and competition management.

Key Responsibilities:

1. NSW State Team Administration

Prepare pre-invoice documentation and liaise with the bookkeeper.

Manage player communications including letters, information packs, and payment tracking.

Coordinate training schedules, venue bookings, accommodation, and transport.

Organise uniform orders, maintain stock, and oversee event logistics for the annual presentation.

Support budgeting, compliance, and financial tracking processes.

Maintain accurate records of players, travel, and equipment requirements.

2. Entity Administration

Plan and coordinate meetings, including the Annual General Meeting (AGM).

Manage insurance renewals and policy updates.

Draft, maintain, and update policies, procedures, and job descriptions.

Keep the constitution and governance documents current and compliant.

Maintain the master organisational calendar.

3. Representative Competition Administration

Assist with fixture scheduling, centre bookings, and rule documentation.

Manage competition setup and records in Spawtz.

Communicate with franchise owners, team managers, and officials.

Support the Umpire Coordinator and Disciplinary Chair with administrative processes.

Track competition results, statistics, and maintain equipment stock (e.g. match balls).

4. Sponsorship & Stakeholder Management

Develop and maintain professional sponsorship proposals and agreements

Identify and secure new sponsorship opportunities (10% commission applicable).

Manage sponsor relationships and ensure deliverables such as promotions, acknowledgements, and event visibility are met.

Coordinate communications through email campaigns and social media.

5. Event & Tournament Coordination

Arrange logistics for travel, accommodation, meals, and transport for events.

Oversee uniform distribution and documentation management.

Communicate regularly with participants, families, and staff.

Liaise with tournament officials and ensure smooth daily operations.

Address logistical challenges efficiently and professionally.

6. Tournament Operations

Maintain clear and timely communication with all stakeholders.

Represent NSW Indoor Cricket with professionalism and integrity.

Uphold confidentiality, ethical standards, and organisational values.

Key Selection Criteria:

Proven administrative experience in a busy or multi-faceted environment.

Strong organisational and multitasking skills with attention to detail.

Excellent written and verbal communication skills.

Ability to coordinate multiple stakeholders with professionalism and empathy.

Proficiency with Microsoft Office (especially Excel) and Google Workspace (Forms, Sheets, Drive).

Flexible, proactive, and solutions-focused approach to problem-solving.

Valid Working With Children Check (mandatory).
