Our expert team of specialists include psychiatrists, psychologists, accredited counsellors and child specialists.
We’re seeking a highly organised and empathetic Clinical Administration Assistant to be the welcoming face of our busy practice. This would be someone who thrives on supporting clinicians, managing complex presentations and helping patients feel genuinely cared for from their very first call. Working between 3 and 5 days per week.

Duties include, but are not limited to:
Booking appointments, taking payments and managing multiple diaries on a practice management software system
Liaising with GPs, patients and our clinical staff to make the process as easy as possible for all involved
Answering incoming calls and emails professionally and promptly
Providing excellent support and assistance to our healthcare professionals
Assist with financial processes including contractor invoicing, third-party billing, and debt collection
Maintain expert knowledge of MBS, DVA, ADF, NDIS, and WorkCover systems and fees
Develop and uphold practice policies and procedures
Meeting and greeting patients in a friendly, welcoming manner
Dealing with patient enquiries, delays and rescheduling, over the phone and in person, including challenging situations
Filing, scanning, copying
Providing coffee to clinicians and board when required
The successful applicant will demonstrate:
Exceptional customer service with a polite, friendly and empathetic manner
Excellent communication and attention to detail
Strong organisation, time management, and multitasking skills
Ability to work both independently and collaboratively
Calm, composed, and people-focused under pressure
Proficiency in Microsoft Office and practice management software
Confidence with IT systems and data handling
Commitment to learning, flexibility to cover leave, and willingness to adapt
Current driver’s licence and Australian citizenship or permanent residency
Highly regarded:
Experience in clinical or specialist medical/allied health administration
Stakeholder engagement skills across all levels
