Jeffery & Ree Clinical Psychologists (J&R Psych) is looking for a warm, organised, creative and proactive person to join our administrative team. This is a unique hybrid role that combines front-of-house reception and business operations support.

Jeffery & Ree Clinical Psychologists (www.jrpsych.com.au) is a trusted, well-established private clinic with locations in West Perth and Como. Our team provides high-quality psychological care to children, adolescents, adults, and families across a wide range of presenting concerns. We are also well known for our work in behavioural sleep medicine (eg. insomnia, and other sleep disorders), with many of our referrals being specifically related to sleep concerns. About the Role: two key components:

1. Reception & Client Experience

You'll be the friendly first point of contact at our clinics in West Perth and/or Como, warmly welcoming clients and supporting our clinical team so the practice runs smoothly.

Key duties include:

Greeting clients and responding to enquiries with warmth and professionalism

Diary management & appointment bookings for our clinical psychologists

Invoicing, payments and Medicare/HICAPS processing

Using Cliniko to manage client records and admin tasks

Liaising with referrers and GP practices

Scanning, filing, database maintenance

Maintaining a calm, tidy and welcoming clinic environment

2. Business Operations, Marketing & Team Support

You'll act as an executive assistant-style support for the practice, helping us communicate our message, maintain strong referrer relationships, and nurture a positive team culture.

Key duties include:

Marketing & Communications

Generating and executing social media content across Google Business, Instagram, Facebook & LinkedIn

Creating print and digital marketing materials

Updating clinic website blog posts (WordPress)

Coordinating referrer mailouts and GP communication

Business Operations

Updating admin and clinician procedures & manuals

Assisting with audits (e.g., AHPRA, insurance, WWC)

Weekly reporting, checks and ad-hoc operations tasks

Supporting administration systems for clients' clinical outcome measures

Team Culture & Events

Coordinating monthly morning teas at each clinic

Support the organisation of quarterly social catch-ups and annual Team Day

Birthday cards & small team appreciation touches

Scheduling team mentoring meetings

You'll Be a Great Fit If You…

Have allied health or medical reception experience

Are warm, reliable and love helping people

Possess strong attention to detail

Are proactive and enjoy improving processes and solving problems

Have strong writing and communication skills

Can juggle multiple tasks calmly

Have a flair for creative social media

Love creating uplifting team and client experiences

Desirable experience:

Familiarity with:

Cliniko practice management software

Canva

Instagram/FB/LinkedIn for business

WordPress

SharePoint/Teams

Medicare mental health billing

⏰ Hours, start date, & Location

In-clinic hours will be across West Perth and/or Como. Depending on FTE, the business operation support can be performed 1-2 days per week at home. Some evening work and Saturdays may be required. Flexibility to occasionally cover leave is desirable.

Ideal starting date is January 2026
