About Us

South West Community Care is a not-for-profit Organisation and Registered Charity local to the South West, providing aged care and in-home services to the local community. It is managed by a Chief Executive Officer (CEO) who is supported by a Chief Governance Officer and Management Team overseeing operations and supporting a team of over 120 employees and volunteers. The CEO, in conjunction with a volunteer Board of Management, sets the strategic direction for the organisation.

South West Community Care is managed locally and embraces the ‘Wellness’ Approach when delivering care to eligible older Australians in the Community approximately 1000 clients currently, providing services designed to maintain independence dignity and quality of life for our ageing community. These services are delivered by compassionate and caring staff working within the guidelines set out by the Aged Care Charter of Rights and Code of Conduct for Aged Care to deliver person centred care to optimise positive outcomes.

Position Purpose

Reporting to the Chief Operations Officer, the purpose of your role is:

To provide administrative support for a variety of duties including Executive Management, Marketing, ICT, Facilities & Assets, Contractors, and day to day administrative tasks.

Position Responsibilities

As an Executive Operational Assistant you will be responsible for and assisting with:

Executive Duties

  • Manage appointments, meetings and other events on behalf of the Chief Operations Officer.
  • Review and maintain electronic diaries and calendars daily.
  • Complete hard-copy and electronic file management duties for Executive documentation.
  • Attend management meetings and take minutes.

Meetings

  • Request reports and other information to be compiled for the meeting.
  • Send reminders and additional documentation to committee members.
  • Prepare for committee meeting with the Chief Operations Officer.
  • Prepare and distribute agendas.
  • Attend committee meeting and produce and circulate meeting minutes.
  • Assist with the presentation of data and reports.

Marketing

  • Establish brand and promote brand awareness for SWCC
  • Assist with the social media templates and posts
  • Actively promote South West Community Care’s services to potential clients and potential client groups.
  • Promote a positive image of the organisation by interacting with clients/carers, other employees and members of the public in a professional manner.
  • Contribute to the development of appropriate promotional material for home care services.

Operations

  • Maintain insurance policies and assist in the insurance claims process.
  • Monitor lease agreements and renewals.
  • Maintain register of facility expenditures.
  • Monitor vehicle fleet for replacement, servicing or any repairs as required.
  • Assist in monitoring, updating and recording of Assets, facilities, ICT, contractors, WHS and vehicle registers.
  • Assist in the development and maintenance of contracts with external providers.
  • Monitoring the IT Crowd mailbox and allocation of tasks internally or to ICT contractor.
  • Develop and maintain documentation for systems and processes.

To thrive in this role you will have:

  • Certificate IV in Business, Administration, or related discipline, or equivalent experience.
  • Demonstrated understanding of, and commitment to, maintaining business and client confidentiality in all aspects of work.
  • Excellent written and verbal communication skills, including the ability to build relationships.
  • Ability to contribute knowledge in the development of innovative and practical solutions to challenging situations.
  • Experience in planning, prioritising tasks to meet deadlines effectively, and managing workload efficiently under pressure.
  • Proficiency in Microsoft 365 suite's core applications Word, Excel, PowerPoint, Outlook with the ability to utilise them effectively in a professional setting.

Office Base Location

Based at the Australind Office but will be required to work from other sites.
