Are you looking for your next career step in the real estate industry? We are seeking a reliable and detail-oriented Administration Officer to join our team full time basis.

This is an excellent opportunity for someone who enjoys customer service, thrives on consistency, and has ambitions to grow into a Property Manager role.

Previous real estate or small business admin experience

A current Real Estate Registration Certificate

Creative and proactive approach

Ability to work independently when needed

(Experience with PropertyMe is not required – full training provided.)

Key Responsibilities

Ensure the office is always open and professionally presented

Answer incoming phone calls & directing to appropriate staff members (majority of the day)

Greet clients in a welcoming manner

Able to multi task with a busy Rental & Sales office

Manage keys in PropertyMe, including weekly follow-ups

Mange and keep on top of car register for the rental department - sign in/out process, along with key management

Prepare and send entry notices the same day as requested

Scan, upload, and maintain management documents

Processing Rental Applications and sending them to the PM's in a timely manner

Preparing Management & New Tenancy Documents for electronic signing

Calling applicants to approve their application & organise the move in documentation & calendar reminders for PM's

Sending work orders for smoke alarm compliancy for new tenants moving into rental properties

Print and maintain property flyers, tenancy applications, and other office resources

Creating & posting on social media sites for Company marketing

Schedule tenancy meetings and assist with leasing preparation

Advertising properties for rent on advertising portal site

Assist with open home bookings (and potential hosting)

Weekly tasks such as checking PO box, uploading receipts, and scanning old files

General cleaning duties to present the office in a professional, clean & tidy manner

Purchase office supplies when required & keep a record of inventory

General day to day admin tasks
