Operations & Communications Specialist

Marketing agency seeking front-line client contact person. Independent work style required.

Position Overview

Hybrid position: mostly remote with one in-office day per week (5 hours).

Handle client communication (calls, emails, social media) for a portion of our client base, manage incoming leads, coordinate basic operations. You'll be the first point of contact for assigned clients and represent the business professionally.

Remote workload is light and varies day to day depending on client activity. Your role covers the front door: incoming inquiries, lead follow-up, and initial qualification. Once leads become clients, their ongoing account management is handled by dedicated staff.

Responsibilities:

Available between 9am-6pm to respond as needed; not tied to your desk the entire time

Answer and manage phone calls as they come in

Respond to client emails and social media messages

Follow up with leads from website and ad campaigns

Make outbound calls for lead follow-up and client communication

Update and maintain CRM with lead and client information

Schedule social media posts for clients and create simple graphics using provided content (Canva or similar)

Coordinate calendars, send client reminders, follow up on invoices

Provide basic project status updates to clients

Submit simple daily summary of calls handled and tasks completed

In-Office Work (1 day/week, 5-hour day, flexible schedule):

Brief team coordination

Computer-focused tasks (CRM updates, social scheduling, documentation, graphic creation)

In-office day involves more focused, hands-on work (approx. 5 hours)

Additional office days optional if preferred

Compensation

Weekly retainer covers light remote workload (approx. 2-4 active hours per day).

$550/week retainer for availability and general work

$27-33/hour for in-office days depending on experience (5 hours/week = $135-165)

Total weekly: ~$685-715

Growth & Scope: Starting retainer reflects current client volume assigned to you. We won't pile on extra work without adjusting pay - if the role grows beyond what's described here, we revisit compensation first. Regardless, if you're excelling, taking initiative, and the workload grows, we'll review and adjust your retainer every 6 months.

Trial period: 2 months, fully paid (1 week notice either side), then 2 weeks notice after trial

Requirements

Available 9am-6pm business hours (responsive when needed, not constantly engaged)

Can attend Cranbourne West office 1 day per week (5-hour day, flexible schedule)

Warm, friendly communication style - able to build trust with clients and gather information from leads effectively

Professional phone and written communication skills

Tech-savvy - comfortable with CRM systems, spreadsheets, social platforms, email tools, basic graphic design (training provided on specifics)

Organized and able to manage multiple clients/tasks independently

Trustworthy - will have access to client emails and sensitive information

Self-directed - takes initiative without needing supervision

Preferred:

Medical/healthcare reception experience (some clients in healthcare/NDIS sector)

Details

Independent contractor (you manage own tax/super; ABN not required immediately)

Location: Hybrid - 1 day/week at newly built Cranbourne West Office; remote for phone availability

Equipment: Laptop and work phone provided (your choice of OS for both)

All software/tools provided (CRM, social platforms, project management, Canva, etc.)

Trial includes more office time to learn systems; becomes flexible based on performance

Work culture: Results-focused, minimal supervision. We expect a job done well and with freedom for you to structure your day as needed.
